Corporate Services & Properties Coordinator
About the role
We are seeking a highly organized, detail-oriented, and proactive Corporate Services & Properties Coordinator to join us at Western Canada Lottery Corporation (WCLC). This key role is responsible for supporting the coordination and management of corporate facilities, services, and related operations across the organization. You will play an essential part in ensuring our work environment is functional, secure, efficient, and continuously improving to meet the needs of our staff and business operations.
Key Responsibilities
Corporate Services & Office Operations
- Oversee the day-to-day operations of corporate facilities, including building access, meeting rooms, office spaces, and shared areas.
- Coordinate and manage access control systems (key cards and keys).
- Perform regular inspections of corporate properties; coordinate maintenance, inspections, and repairs.
- Perform office administration tasks such as restocking and maintaining supplies inventory, procurement, shipping, and mail services.
- Act as Fire Warden and support workplace safety procedures and initiatives.
- Lead the coordination and testing of Instant Tickets for security compliance.
- Create and maintain department internal SharePoint site.
Vendor & Contractor Coordination
- Liaise with external service providers to clarify information, resolve issues, and escalate concerns when needed.
- Coordinate with vendors, contractors, and property managers to ensure timely delivery of services and maintenance.
- Manage department service agreements, vendor relationships, and lease payments.
Internal Support & Collaboration
- Receive and respond to internal escalations and service requests via JIRA.
- Collaborate with cross-functional teams to support corporate events, special projects, and department coverage as needed.
- Communicate effectively with internal teams and contribute to internal communications initiatives.
Asset & Records Management
- Track and manage physical assets and offsite record storage with third-party vendors.
- Maintain up-to-date contact lists for service providers, vendors, and contractors.
- Organize and maintain accurate records and documentation.
Financial Administration
- Submit purchase requests, reconcile invoices, and monitor department expenses.
- Analyze variances and provide commentary for reporting.
- Support department budget process.
- Assist in preparing reports and recommending improvements to facilities and processes.
Process Improvement & Compliance

Identify and implement process enhancements for improved efficiency and effectiveness.

Support cyber and corporate insurance renewals

Assist with safety protocols, communication and documentation across the organization.
Qualifications & Experience

Post-secondary education in Business Administration, or related field (or equivalent experience) is an asset.

3 years of experience in office administration, facilities coordination, or corporate services roles is an asset.

Strong vendor management and customer service skills.

Proficient with Microsoft office, SharePoint, and financial reconciliation tools.

Excellent communication, organizational, and multitasking skills.

Ability to work independently and collaboratively in a fast-paced environment.
