Build the Backbone of Our Maintenance Operations

We’re looking for a Parts & Service Administrator to join our Maintenance team — someone who thrives in a hands on environment, enjoys staying organized, and takes pride in keeping parts, service, and inventory running smoothly.

What You’ll Do

As the Parts & Service Administrator, you’ll be the administrative and coordination hub for parts, service, and inventory within the Maintenance department. Your work will directly support our mechanics, field teams, and vendors — helping ensure the right parts are in the right place at the right time.

Your day to day will include:

  • Receiving, unpacking, sorting, and organizing incoming parts, supplies, and materials
  • Maintaining and assisting with parts and consumable inventory
  • Picking up and delivering parts using a company vehicle when required
  • Creating and processing work orders and purchase orders for units, service, and third party vendors
  • Entering and maintaining accurate data for work orders, purchase orders, and maintenance requests
  • Processing invoices and matching them with work orders and purchase orders
  • Supporting parts warranties, returns, and core processing
  • Entering parts requests, oil samples, and unit photos into the Cetaris unit file
  • Updating maintenance requests and tracking items in shared systems (including Excel)
  • Acting as a liaison between internal teams and external vendors
  • Filing, record retention, and general administrative support
  • Working professionally and collaboratively with co workers, vendors, and partners
  • Taking on other related duties as assigned

What You Bring

Required Qualifications:

  • Valid Class 5 driver’s license with a clean driving record
  • Availability to work Monday – Friday
  • Strong proficiency in Microsoft Office (Excel, Outlook, Word)
  • Ability to work independently while also being a strong team player

Experience Considered an Asset:

  • Familiarity working in a shop or maintenance environment
  • Experience with parts for Peterbilt, Ford, CAT, John Deere, or Komatsu
  • Knowledge of parts identification and service procedures
  • Experience or training with inventory or maintenance software
