About the role
The Operations Representative (Term) provides a variety of office support services within the company. The Operations Representative (Term) will perform reception responsibilities including answering, coordinating, and directing inquiries to the appropriate department or individual and mail processing. Other duties include data entry, filing, verifying reports, preparing correspondence, scanning and filing of documents, and supporting administrative services to all departments.
The Operations Representative (Term) Will
- Serve as the primary representative for walk in and phone clients. (reception and front desk duties)
- Provide an excellent customer experience when answering guest/client inquiries in person or over the phone.
- Carry out administrative duties such as filing, scanning, faxing, destroying, photocopying, and data entry.
- Process all incoming and outgoing mail by sorting, opening, logging, and distributing to appropriate departments.
- Maintain office inventory and equipment.
- Review forms, invoices, and courier packages.
- Effectively manage and resolve client concerns, ensuring client satisfaction.
- Perform other duties as assigned.
To be successful as an Operations Representative (Term) you will need:
- Education/skills acquired at secondary level or higher e.g. one year Community College Certificate.
- Post-secondary courses in a related field will be considered an asset.
- A minimum of 1 year of related work experience in an office environment.
- Maintains reliable attendance and punctuality in accordance with company standards.
- Strong organizational skills, the ability to prioritize and multi-task, and the ability to manage time effectively.
- Exceptional communication and interpersonal skills.
- The ability to maintain good public relations, both within and outside the organization.
- Meticulous attention to detail and accuracy.
- Sound knowledge of Microsoft Office and standard office administration procedures.
- Excellent grammatical and spelling skills.
- The ability to adhere to existing company policies and procedures.
- The ability to use tact and discretion to maintain information in the strictest of confidence.
- A team player willing to work alongside others, providing support and willing to leverage the expertise of colleagues, in addition to being able to work independently. The candidate must be willing to present creative ideas and contribute to an environment that fosters growth, development and innovation.
- Fluency in both official languages (English and French) is an asset.
