Service Support Coordinator
About the role
Role Overview
The Service Support Coordinator ensures Urban Life Solutions’ fleet operates efficiently and reliably. In this role, you’ll manage data in Fleetio – tracking parts, work orders, and coordinating both in-house and vendor repairs. You’ll also ensure all vehicles remain compliant and ready for deployment. Collaboration is key: you’ll work closely with Supply Chain, Fleet Manager, Technicians, and Operations to make sure the right trucks and parts are available when needed.
Main Responsibilities
Fleet Data & Systems
- Manage Fleetio daily: update asset records, service history, work orders, recalls, meter readings, parts and costs.
- Track and reconcile work orders, parts inventory and receiving.
Maintenance Planning
- Create and manage preventive maintenance schedules.
- Send service reminders and help schedule shop.
- Monitor deadlines and escalate issues.
Operational Support
- Assist technicians with work orders, parts availability, and documentation.
- Assist Lead hands with work orders, parts orders, and other administrative tasks as required.
- Communicate updates to Operation Managers.
Required Qualifications
Experience with Fleetio or similar fleet management systems.
Knowledge of preventive maintenance, repair workflows, and parts inventory.
Strong Excel and ERP/PO system skills.
Excellent written and verbal communication.
Strong organizational skills.
Valid Class 5 driver’s license with clean abstract.
Demonstrate willingness to learn and succeed.
Physically fit and able to lift up to 50lbs.
Skills
Attention to Detail: Accurate data entry and follow-up.
Planning: Balance PM schedules, issues, and technician workload.
Analytical: Use Fleetio data to improve decisions and scheduling.
Collaboration: Work well with technicians, managers, and supply chain.
Tools: Fleetio , ERP systems, Microsoft 365 (Excel, Teams, SharePoint).
