Job Summary
Dalhousie Financial Services strives to provide the highest quality financial services and information to ensure the effective stewardship of University assets to the benefit of students and scholarly activities. Financial Services is a core service unit of the University, providing services in areas of financial accounting, budgeting, procurement, payroll, cash management, and financial systems and policies. Reporting to the CFO & Assistant Vice-President, Finance, the Executive Assistant & Operations Manager will provide executive support to the CFO & Assistant Vice-President, Finance, and other senior leaders, manage operations and budgeting for central Financial Services, and provide project coordination and communication support to Financial Services Directors for strategic initiatives.
Key Responsibilities

Manage the CFO & Assistant Vice-President, Finance (CFO & AVP, Finance), complex schedule to optimize time, ensure priority issues are addressed in a timely manner, and balance conflicting demands and urgent and/or emergency situations.

Manage the Financial Services (FS) departmental budget in adherence to the University’s strict financial protocols. This includes drafting the FS operating budget annually, completing salary calculations, advising the CFO & AVP, Finance on budget implications and issues, and reviewing and controlling spending.

Handle office and facilities management for central FS.

Act as department liaison with People and Culture on personnel matters, assisting with the coordination and initiation of required human resources documentation for all modifications and changes to employee salaries, employment status and benefits.

Provide direct project support as needed to CFO & AVP, Finance Directors, including coordinating and participating in planning and prioritization of strategic initiatives, managing project communication plans, and coordinating events related to strategic initiatives.

Manage one fulltime clerical staff member.
Note
The successful applicant will be eligible for hybrid work (combination of in-person work on campus and remote work from within Nova Scotia) as agreed by all parties based on operational requirements and university guidelines.
Required Qualifications
-
Undergraduate degree in a related discipline such as Business Administration, Management, plus five years’ related experience preferably in a university environment or similarly decentralized, complex and unionized organization (or an equivalent combination of training and experience).

Strong financial acumen, with demonstrated knowledge of budgeting and operations management.

Proven research, analytical and project coordination.
-
Advanced MS Office skills, in particular MS Outlook, Word, Excel, and Power Point.
Assets

Experience providing executive-level administrative support.

Proficiency in FSIS or other EAP systems.

Project management certification and/or training.
