The Opportunity
Are you someone who thrives on organization, precision and being part of a high-performing team? McElhanney is seeking an experienced legal administrative assistant or junior paralegal to support a broad range of legal, governance, and operational activities across the business.
As a member of our legal team, you'll work on everything from share transactions and corporate records to governance support and key administrative processes. you’ll play an important role in keeping our legal and shareholding programs running smoothly, supporting document preparation, maintaining internal systems, coordinating activities such as business licenses, professional association memberships, and insurance administration, and helping ensure information is accurate, accessible and up-to-date.

What You’ll Do
Assist in preparing and reviewing legal documents related to share transactions, including offers, sales, redemptions, and dividends, and maintain accurate and up-to-date records of share transactions and related documentation. Provide administrative support across legal operations, including drafting standard correspondence and memos, coordinating proposal/project signing authority letters, and preparing meeting materials and agendas. Support corporate governance and legal workflows, including coordination of committee materials and general administrative support to legal processes as needed. Maintain and update legal content on internal platforms, including sharepoint, teams, and the intranet (including master service agreement updates and site maintenance) Coordinate and manage the execution and filing of legal documents with relevant authorities and stakeholders. Assist with maintenance and organization of corporate records, including minute books. Assist with professional corporate and individual membership registrations and renewals. Coordinate and maintain business licenses and oversee renewal cycles. Manage the administration of accounts payable tickets for the legal team, support expense submissions, and various accounting process-related tasks. Assist with insurance administration. Perform administrative tasks to support a variety of other legal processes (organization of records, filing, meeting coordination, etc.).
What You’ll Bring
Graduate of an accredited Legal Assistant or Paralegal program, or equivalent working experience. Minimum 5 years’ experience in an administrative role in a corporate or legal environment or 3 years’ experience as a paralegal. Strong proficiency with MS Excel, Word, SharePoint, and Teams, with a willingness to adopt and leverage AI (Co-Pilot) and digital tools to improve efficiency. Strong attention to detail and a commitment to producing accurate, high-quality work. A collaborative, team-oriented mindset, with the ability to build strong working relationships across functions. A curious, proactive approach with a learning mindset and willingness to take on new responsibilities. Effective communication and interpersonal skills – able to work confidently with executives, employees, administrators, and shareholders. Ability to multi-task, problem solve, and manage competing priorities in a fast-paced environment. Sound judgment and discretion when handling confidential and sensitive information. Ability to work independently while also contributing as part of a broader team. Completion of an accredited Legal Assistant Diploma program is an asset but not required.
What Can We Offer You?
The salary range for this position is $60,000 - $80,000 per annum. McElhanney offers fair compensation that is commensurate with the individual’s education, experience, skills, and professional qualifications. The posted base salary/wage range is representative of the required level of qualifications and experience for the position as noted in the job posting. The salary offered will be based on the experience and qualifications of the successful candidate.
