PROJECT OPPORTUNITY We are looking for a Fleet Coordinator to join our FCC Canada team assigned to the ONxpress Project
This position is located in downtown Toronto, ON and requires a daily presence in the office and/or on the construction sites.
ONxpress Transportation Partners was chosen in 2022 by Metrolinx and Infrastructure Ontario to deliver the track, civil infrastructure, signalling, and electrification for the GO Expansion program. This project will transform the GO Transit rail network, resulting in more frequent two-way service, shorter journey times, and a modernized system for the Greater Golden Horseshoe area.

Position Summary Reporting to: Accounts Payable Manager The Fleet Coordinator is responsible for the day-to-day administration and oversight of the company’s vehicle fleet. This includes managing fuel usage, insurance documentation, vehicle assignments, and liaising with leasing companies and internal stakeholders. The role requires strong organizational skills, attention to detail, and the ability to work independently in a fast-paced environment. The Fleet Coordinator also supports the Accounts Payable team with vendor management, invoice processing, and other finance-related tasks as needed.
Key Responsibilities
- Serve as the primary point of contact for vehicle-related matters, including coordination with superintendents, drivers, and leasing companies.
- Administer fuel card programs, track mileage, and monitor fuel usage across the fleet.
- Manage vehicle insurance documentation and ensure compliance with company policies.
- Coordinate vehicle assignments, swaps, and reassignments, maintaining accurate records of all changes.
- Reconcile fleet-related accounts and handle miscellaneous vehicle-related tasks such as maintenance scheduling, 407 toll correspondence, and pay slip distribution.
- Review and process invoices related to fleet operations and other IT or finance-related costs.
- Support vendor account management and assist with data entry into financial systems and payment platforms.
- Contribute to the development and improvement of fleet policies, procedures, and reporting tools.
- Maintain detailed records for audit and accountability purposes.
- Assist the finance team with accounts payable tasks and other clerical duties as required.
Education And Qualifications
- College diploma in Business Administration, Logistics, Finance, or a related field.
- 3–5 years of experience in fleet coordination, vehicle services, or administrative roles within construction, engineering, or service industries.
- Proficiency in Microsoft Excel; familiarity with Power BI is an asset.
- Strong organizational and time management skills with high attention to detail.
- Excellent verbal and written communication skills.
- Ability to multitask, prioritize, and work independently.
- Confident and assertive when interacting with internal stakeholders to ensure accountability and compliance.
Job Requirements
- Experience or understanding of vehicle inventory control and fleet logistics is preferred.
- Background in service vehicle operations (e.g., rental car companies) is considered an asset.
- Comfortable with clerical and record-keeping tasks in a finance environment.
- Ability to proactively identify issues and drive process improvements.
- Willingness to take initiative and follow through on tasks with minimal supervision.
