Job Title: Administrative Assistant
Location: G3 Thunder Bay
The Administrative Assistant is responsible for administrative support and assistance to the management team. This role administers general business office activities that are clerical in nature, which includes supporting payables and invoicing processes, maintaining an efficient and well-organized office, and providing excellent customer service to all internal and external clients.
KEY RESPONSIBILITIES:
- Greets customers/visitors and answers their questions promptly and professionally
- Monitors and authorizes the entrance and departure of visitors and other persons in accordance with company security protocol
- Answers, screens, and directs all external and internal calls received through main switchboard to the appropriate person or department
- Maintains office files, coordinates incoming/outgoing mail and courier packages, and manages office supplies
- Prepares letters, memos, and reports
- Provides support and data entry for various systems (Agrosoft, LV)
- Provides basic office machine and IT support to other staff
- Under direction of their manager, contacts customers regarding the sale or promotion of products and services
- Compiles and provides information on items, such as stocks in store, shippable stocks, balance of contracts to arrive, product sales, prices, shipments and accounts outstanding as requested
- Processes customer grain settlements accurately and promptly and in a professional and courteous manner
- Ensures customer contracts are not being over - or under - filled
- Follows up with the Finance and Accounting department to ensure submitted payables and receivables are properly authorized and payments are received
- Maintains documentation of Safety, Health and Training activities
- Manage G3 University training schedule and ensure follow ups
- Support the site by making scheduling adjustments in Dayforce
- Support QMS monthly processes
- Support QA requirements with QA corporate team
- Support onboarding new hires process
- Support CFIA audit process
- Support Transport Canada/Port security requirements
- Complies with requirements of G3’s Food Safety Quality Management System (FSQMS)
- Performs other related duties as assigned
PROFESSIONAL QUALIFICATIONS & EXPERIENCE:
- High School diploma or equivalent
- Working knowledge of math and accounting (use of percentages, etc.)
- Minimum one year of office experience required
- Proficiency in Microsoft Excel, Outlook, etc.
- Office Assistant Certificate or related education is an asset
- Bilingual in English and French is an asset

G3 Terminal Vancouver, a next-generation grain export facility on the West Coast, can receive three 150-car trains at a time on its loop tracks, where they unload quickly and return to the Prairies for more. At its dock, G3 Terminal Vancouver's three massive ship loaders are setting new standards for rapidly loading vessels up to Capesize. In Eastern Canada, our port facilities on the Great Lakes and St. Lawrence Seaway System from Thunder Bay, ON to Quebec, QC provide access to destinations across the Atlantic. Farmers deliver direct to our port facilities in Hamilton, ON and Trois Rivieres, QC.
