About the role
Purpose of Position
To provide support to the Ontario District on a day-to-day basis.
This position requires to be present at the office 5 days per week.
Reporting Structure
This position reports to the General Manager. There are no direct reports for this position.
Key Accountabilities
Office Administration:
-
Receive and handle all visitors, incoming communication inquiries (phone, mail, electronic etc.), and redirect as required.

Sort and distribute internal and external mail, including faxes; prepare outgoing mail for postage or courier service. File all interoffice documentation and prepare files for off-site storage (archive),
-
Manage service contracts for assigned area of responsibility which may include general office equipment including telephones, photocopiers, fax machines, mail equipment, and kitchen equipment, housekeeping, landscaping, snow removal, building maintenance as required etc.

Order office stationery supplies, kitchen supplies and furniture requests; ensure stationery and supply rooms are kept in neat and orderly fashion.

Assist with other administrative tasks as assigned.
Commercial Support:
-
Support in the preparation and completion of various RFQ/RFP’s in close coordination with the Commercial and Legal teams.

Support the Commercial teams to prepare for various trade shows through registration, invitations, promotional equipment etc.
-
Assist and support in the preparation of Town Halls , Management meetings with presentations, minutes, technical and communication set up with IT support etc.
Event Planning:

Assist District in Event Planning, Sales meetings, Lunches, Holiday Parties etc.
Technical Competencies
-
Secondary School education; College Diploma in Business would be considered an asset
-
Prior related work experience (1+ years)
-
Proficient in MS Office Suite (Outlook, Word, Excel, Power Point and Teams)
-
Previous experience/exposure with ERP systems, preferably SAP, would be considered an asset.

Communication skills both written and verbal, are critical to this role.
