POSITION DESCRIPTION
Reporting to the Director, Field & Event Marketing Operations, the Event Coordinator plays a key role in supporting the successful execution of corporate, and networking events for IGM Financial. This role is responsible for managing event logistics, technology platforms, communications, and data reporting. The ideal candidate is highly organized, tech-savvy, and thrives in a fast-paced, collaborative environment.
KEY RESPONSIBILITIES
Websites, Technology, and Registration Platforms

Develop and launch registration platforms for Level 2 and 3 events; support Level 1 event registration as needed
-
Build and maintain event websites, including Mackenzie Financial site upkeep and OnDemand webinar integration
-
Manage virtual event platforms and mobile app development, including updates and troubleshooting
-
Ensure seamless Salesforce integration for pre- and post-event data synchronization and reporting
Financial & Project Management
-
Process invoices and payments, and handle filing and tracking for all events and conferences using SAP and internal systems
-
Coordinate with internal creative and translation teams using project management tools (e.g., Monday.com)

Track deadlines and deliverables for event assets and communications
-
Provide support for all translation requests, including urgent ones, using the internal creative agency project management tool
-
Support the design of event assets and deliverables by managing deadlines, inputs, and outputs using internal creative agency project management tools
-
Oversee event shipping logistics for incoming and outgoing materials
-
Provide onsite support for events as required
-
Manage webinars end to end when required
-
Lead planning and execution of team offsite events (Alumni, YE, SS, etc.)
-
Support broader program event logistics as needed and operate as a team capacity valve to support MI, IG brands and employee events
Marketing & Participant Communications

Coordinate the distribution of event communications and manage conference inboxes
-
Design and deploy participant surveys, polls, and compliance-related data collection tools
-
Maintain accurate participant and distribution lists
-
Support post-event reporting and insights through Salesforce and other tools
REQUIRED SKILLS
-
Minimum of two years of administrative experience, preferably in the event sector
-
Post-secondary diploma or equivalent in event planning, marketing, or related field
-
Strong organizational and time management skills with attention to detail
-
Ability to manage multiple projects and adapt to shifting priorities
-
Proficiency in Microsoft Office Suite (Outlook, Excel, Word, PowerPoint)
-
Experience with event registration systems, mobile apps, and project management tools
-
Familiarity with Salesforce and virtual event platforms is an asset
-
Excellent written and verbal communication skills in English; bilingualism (French/English) is an asset

Collaborative team player with strong interpersonal skills
