Position

Reporting to the Faculty Administration Manager, this position is responsible for providing program support for the Faculty of Education. This includes being the first point of contact for program related administrative and transactional activities. In all facets of this role, this position endeavors to integrate and advance the University's commitments to equity, diversity and inclusivity. This position understands, fulfills, and promotes the health, safety and environment responsibilities identified in university policy.

Duties

  • Prepares and responds to general correspondence for the faculty office regarding administrative and financial inquiries, in collaboration with the Financial Service Partner and the Staff Service Center.
  • Identifies, troubleshoots, and resolves transactional issues via salary and benefit adjustments, accounts payable journal vouchers and GL distribution changes, in collaboration with Faculty HR & Finance Partners.
  • Initiates transactions in conjunction with associated Financial Service Partners and the Staff Service Centre on behalf of the Faculty of Education (via SupplyNet, PeopleSoft Financials).
  • Reconciles operating, research and endowment accounts on a monthly basis. Reviews individual transactions and supporting documentation for accuracy and UAPPOL compliance. Identifies discrepancies and resolves; escalates complex issues.
  • Creates and maintains complex spreadsheets and/or databases. Provides information and reports to supervisors and leadership staff as requested and appropriate.
  • Identifies opportunities to improve business processes, using technology to improve accountability, quality and timeliness of data, information, or accounting reporting. Makes recommendations and provides expertise on administrative procedures.

Minimum Qualifications

  • A High School Diploma is required.
  • A minimum of two years of relevant experience is required. Equivalencies will be considered.
  • Superior analytical, problem-solving and organizational skills.
  • Excellent written and verbal communications skills.
  • Time management skills; ability to multi-task and manage priorities in order to meet deadlines.
  • Strong computer proficiency required, especially in complex databases and spreadsheets, and web environments. Must have solid background in MS Office (Word, Excel) as well as Google Workspace.
  • Ability to work independently and as part of a dynamic team.
  • High level of accuracy and attention to detail.
  • Demonstrated understanding of the importance of practices to ensure access, foster community connections and increase belonging.

Preferred Qualifications

  • A Diploma in Business Administration.
  • Experience with PeopleSoft.
  • Extensive knowledge of University of Alberta policies, procedures and systems.
