About the role

We are looking for a Workplace Experience Administrator who will support our Workplace Experience team. In this role, you will support all aspects of our physical office experience at HelloFresh Canada's HQ in downtown Toronto. Reporting to the Campus Lead & People Analytics, you will act as a friendly and knowledgeable ambassador of our physical space to our team members and visitors to ensure a consistent and excellent employee experience.

Notes on schedule:

  • This role is 31 hours per week over weekdays - Monday to Friday
  • There may be an opportunity for additional hours based on business need and availability
  • This is a 100% in person role - meaning you will be required to come to our office downtown Toronto for all scheduled hours.

Lettuce share what this role will be responsible for

  • Support with reception duties as needed, including welcoming employees/guests, mail and shipment delivery, and distribution of materials to staff
  • Ensure our physical office is maintained, including all meeting rooms, common areas, kitchens, and work spaces
  • Restock all staff kitchens with beverages, snacks, etc on a daily basis
  • Support with monitoring our visitor management platform (Envoy) to ensure all team members and guests are booking desks and meeting spaces appropriately
  • Organizing and inventory tracking of all office materials (Swag, office supplies, printer supplies, etc)
  • Owning the creation of swag bags for new hires
  • Ordering all in office supplies/food in line with budget
  • Support with activation and deactivation of key codes
  • Answer questions and provide assistance to team members related to the physical office
  • Supporting People & Culture team with internal Recognition and Life Events Program administration
  • Assist with supporting in office requests, via our ticketing platform
  • Assist with new hire material distribution - IT equipment, swag, etc.
  • Assist with our in-office employee experience including in person employee engagement events, departmental events, and internal communications
  • All other duties, as assigned

  • Previous experience in Office Management, Office Administration or Customer Service preferred
  • Strong attention to detail and independent work style
  • Strong verbal and written communication skills
  • Welcoming and professional demeanour
  • Customer service focused
  • Excitement to work in a physical office environment and create a great experience for our team members
  • Willing and able to lift up to 40lbs
  • Has experience standing for prolonged periods of time
