Project Administrator II
📍 Calgary, AB | Kamloops, BC | Prince George, BC | Fort St. John, BC 📅 Contract: August 10, 2026 – August 9, 2027 ⏰ Full-Time | 37.5 Hours per Week 💰 Up to $30.00/hour + 4% Vacation Pay 🏢 Hybrid Work Model (In Office Monday, Tuesday & Thursday) Join Our Team We are seeking a highly organized and proactive Project Administrator II to provide administrative, financial, and project coordination support for community and Indigenous engagement initiatives. This role is ideal for someone who thrives in a fast-paced environment, enjoys coordinating multiple priorities, and has strong organizational and communication skills. You will work closely with project teams, consultants, community stakeholders, and internal engagement teams to support financial administration, event coordination, records management, and day-to-day project operations.
Key Responsibilities
Financial Administration Manage purchase orders, including creation, revisions, and closures. Track project budgets and monitor team expenditures. Submit and track payment requests and resolve discrepancies. Process and manage employee expense reports. Support financial reporting and budget transparency.
Corporate Citizenship & Community Engagement Support
Coordinate sponsorship applications for local communities and Indigenous groups. Guide internal and external stakeholders through corporate citizenship processes. Organize and support community events and engagement activities. Coordinate event logistics, including venue bookings, hotels, catering, travel arrangements, and payments. Order and maintain inventory of promotional materials and event supplies.
Compliance & Documentation
Organize regulatory notifications and compliance documentation. Review and edit engagement logs for accuracy and completeness. Coordinate meeting minute reviews, finalization, and distribution. Maintain SharePoint sites, records management systems, and project documentation.
Team & Project Support
Monitor and respond to inquiries through project inboxes and toll-free phone lines. Maintain team calendars and SharePoint access permissions. Coordinate vendor onboarding processes. Support leadership with travel arrangements, meeting coordination, and expense reporting. Participate in project meetings, team meetings, and event planning sessions. Collaborate with internal teams, project stakeholders, and external consultants.
Qualifications
Required Skills & Experience Minimum 3 years of administrative, project coordination, or office support experience. Post-secondary education in Business Administration, Project Management, Office Administration, or a related field preferred.
Advanced proficiency with
Microsoft Office Suite (Excel, Word, Outlook, PowerPoint) SharePoint Email and internet-based applications Strong written and verbal communication skills. Excellent organizational and planning abilities. Demonstrated ability to balance multiple priorities and deadlines. Self-starter with strong initiative and problem-solving capabilities. Ability to work independently with minimal supervision. Comfortable working in a fast-paced environment with frequent interruptions.
