Position: Office Administrator
Job Type: Full Time Location: This position will be based in our office in Calgary, Alberta. This position will require you to work in-person.

Key Responsibilities of the Role
Be an active participant in SB Canada's Health and Safety Program, helping to foster a positive safety culture as we continue to move from compliance to care. Provide administrative support to ensure the efficient day-to-day operation of the office, including answering phones, greeting visitors, coordinating couriers, managing mail, and scheduling meetings. Prepare meeting materials and coordinate boardroom setup as required. Utilize Microsoft Office applications, including Outlook, Word, Excel, and PowerPoint, to support business operations and reporting. Provide administrative support to the Pre-Construction, Estimating, Business Development, Operations, and Project Management teams. Assist in sourcing bid opportunities, downloading tender documents, and supporting the tendering process. Maintain and update CRM databases, including bid lists, active pursuits, and future opportunities. Assist with the preparation and submission of tender packages, prequalification documents, reports, presentations, and other business development materials. Liaise with clients, owners, consultants, and general contractors during the tendering and pre-construction stages. Support project administration activities, including documentation management, production updates, and tracking project-related records. Coordinate with Operations and project teams to ensure documentation is submitted and maintained in a timely manner. Maintain organized electronic and physical filing systems and support document control processes. Build positive working relationships with internal teams, clients, and external stakeholders. Coordinate office supplies, stationery, and equipment inventory, and arrange purchases as required. Coordinate office maintenance requests and liaise with building management, vendors, and service providers. Coordinate travel arrangements, accommodations, and meeting logistics for employees as required. Support the coordination of company events, meetings, training sessions, and employee activities. Provide general administrative and operational support as required to meet business objectives and organizational needs.

Qualifications – What Will Make You Successful
Education: Certificate or Diploma in Office Administration, Business Administration, or a related field.
Experience
1-3 years of experience in an office administration, business support, or project administration role. Experience within the construction, engineering, or industrial sectors is considered an asset.
Soft Skills
Strong organizational and time management skills. Excellent verbal and written communication skills. High attention to detail and accuracy. Strong interpersonal and customer service skills. Ability to manage multiple priorities in a fast-paced environment. Self-motivated with the ability to work both independently and collaboratively. Professional, proactive, and solution-oriented mindset.
Preferred Skills
Proficiency in Microsoft Office Suite, including Outlook, Excel, Word, and PowerPoint. Experience using CRM platforms or document management systems. Familiarity with tendering and construction administration processes. Experience supporting business development, estimating, project management, or operations teams.
