Position Summary:

Reporting to the Manager, Patient Flow, the Bed Desk Assistant is a collaborative member of the Patient Flow Team, responsible for bed allocation and inpatient admissions/transfers, including the following key tasks:

  • Supports day-to-day activities to facilitate patient flow by following processes that align with flow principles and practices, to ensure optimal patient service
  • Processes admissions from all areas of the hospital (ER, clinics, direct admissions, etc.), responsible for bed allocations, completes patient transfers, and edits information on patient files, when required
  • Demonstrates a collaborative approach in daily interactions with charge nurses, patient flow co-ordinators and other health care providers to remove barriers and expedite processes related to admissions and transfers
  • Escalate patient delays, as required
  • Adjusts admission workflows to changing infection prevention and control (IPAC) policies
  • Supports continued quality improvement of admission work flows. Utilizes critical thinking to identify barriers to the throughput of patients across all transition points.
  • Acts as a resource for clinical areas/physicians in regards to EPIC discharge-re-admit workflows; and supports transfers between sites in applying and adjusting EPIC leave of absence (LOA) feature
  • Ensures confidentiality while effectively managing telephone inquiries
  • Maintains an active resource manual for reference and training purposes
  • Assists with staff orientation to Bed Desk standard work
  • Mississauga Hospital Bed Desk Assistant to assume remote cross-site CVH bed desk functions during night shift (2330-0730), 7 days a week
  • Travel between sites may be required for meetings
  • Other duties, as assigned

Key Qualifications:

  • Grade 12 diploma or equivalent
  • Graduate of a Medical Office Administrative certificate program or equivalent
  • Medical Terminology required
  • Epic Bed Planner & Front Desk training is an asset
  • Demonstrates individual leadership qualities
  • Strong written and verbal communication skills
  • Excellent interpersonal skills with well-developed customer service focus (predominantly telephone environment). Committed to fostering a healthy and positive work environment appreciating the diversity of our patient and staff population and community
  • Ability to work in a self-directed, organized manner, exercising sound judgement and follow through with minimal supervision. Prioritizes tasks based on the needs of the patients and organization, and adjusts the priority of tasks based on new information.
  • Seeks assistance and accepts guidance to address any gaps in knowledge related to role expectations Excellent work performance and attendance record
