Our Head Office is seeking a Senior Property Administrator to support the administrative, financial, and operational functions of our property portfolio. This is an excellent opportunity for an experienced property administration professional who enjoys problem‑solving and is committed to delivering exceptional service to tenants and internal stakeholders.
Responsibilities Accounting Functions
- Oversee the timely collection of rents and other tenant billings, including arrears
- Oversee annual rental notices and year-end adjustments by the deadline dates; ensure final billings are issued promptly
- Regularly reconcile tenancy accounts and respond to tenant inquiries
- Work with tenants and accounting to respond to year-end variance questions and account reconciliations
- Set up electronic payments with tenants
- Process and manage chargebacks to tenants
- Assist the Property Manager in budget preparation and data entry into Yardi
- Coordinate and administer year-end accrual process with accounting and site team
Reporting
- Administer monthly Accounts Receivable reports (Collector’s Workstation), monthly financial tracker, and monthly capital tracker reports by deadlines
- Prepare monthly Cash Call reports for accounting
- Submit monthly Work-In-Progress (WIP) accruals
- Audit utility meter readings and provide annual reporting of meter readings to accounting team
- Assist with vacancy reporting for monthly janitorial credit billing
Administrative Support
- Assist Property Managers with tenant move-ins and move-outs, including transfer of utilities, welcome packages, and inspection reports
- Manage capital projects: track expenses, upload contracts into Yardi, assist with approvals and close-out
- Supervise property administrators, lead weekly team admin meetings, and participate in monthly accounting meetings
- Process employee reimbursements
- Manage Corporate Expense Tracker
- Ensure proper file management and archiving
- Assist Property Manager with project-related duties
- Support monthly janitorial inspections as required
- Act as Fire Warden for office team
- Cross-train with other property administrator roles for vacation coverage
Tenant Communications
- Back up Property Administrator position as required
- Coordinate tenant move-ins and move-outs
- Handle tenancy account collection and reconciliation
- Prepare formal letters to tenants as required (e.g., improvement approval letters, lease obligation letters, cover letters for annual rental notices and year-end adjustments)
- Perform other duties as assigned
Qualifications
- 5+ years of experience in property administration
- Related post-secondary education (accounting, business, finance, and/or economics)
- Proficiency in MS Office applications, Yardi Voyager, and property management systems
The base salary for this position is between $68,200.00 to $94,200.00 annually. This represents base salary only and does not represent other variable compensation components of our total compensation ( i.e. annual bonus, commission etc).
