What does this role look like?
The CBE understands the future of work is flexible. In this role, you are eligible to participate in a flexible work program that allows you to work remotely for up to three days a week. A minimum of two days must be in the office. At certain times, you maybe be required to work in the office more then 2 days per week based on operational requirements.
Position Description
Purpose
As a member of a highly collaborative team, this job is responsible for property management support functions related to school board lands and buildings utilized by third parties, as well as tenant management activities pertaining to the CBE’s head office building and CBE schools and programs located in leased facilities. The job is responsible for property data collection and management, interpretation and application of land title information, effective management of lease and property legal documentation as well as general property management and/or tenant management support for internal staff and external clients.
Accountability
This job is accountable for timely and accurate recording and management of CBE school property land and building data to serve as a central data resource for other CBE service units, as well as tracking of legal documentation pertaining to lease, acquisition, disposition, utility rights-of-way and other easements affecting CBE properties.
Major responsibilities
- Manage a comprehensive building and property database to serve as the official property record for all CBE Service Units. Database to be continually reviewed to ensure data integrity and data relevance.
- Create and maintain a detailed modular classroom database with support by Facility Projects.
- Organize legal contracts pertaining to lease and property files, create and maintain tracking system for agreement term and/or trigger dates.
- Assist in fulfilling legal documentation requirements related to property land transfers, utility rights-of-way, subdivision and easements impacting CBE properties.
- Assist with data collection and organization to support government reporting requirements pertaining to CBE buildings and lands.
- Verify and file Certificates of Insurance for third party lease groups.
- Organize and track License of Occupation Agreements pertaining to use of lands by community association organizations.
- Serve as resource for other Service Units for CBE building and land data information.
- Provide support to the Manager, PLR with review of administration building workspace assessments and requirements.
- Accurately track effective dates or trigger dates pertaining to CBE land and property agreements and assist the Manager, PLR as needed with land or property related projects or queries.
- Assist with departmental special projects as required.
Qualifications
Education and Experience
- Recognized post-secondary Office Assistant Certificate or its equivalent
- Minimum two years office experience in a real estate or property management office
- Completion of a recognized post-secondary Administrative Information Management Diploma or its equivalent with one year of progressively more responsible experience in an office environment will also be considered
- Previous experience with or understanding of land title documentation and/or lease documentation
- Familiarity with school boards or government institutions
- Experience and familiarity with Archibus software
- Previous experience carrying out tenant or property management activities
Demonstrated Skills and Competencies
- Demonstrated proficiency in word processing and database applications
- Accuracy in data entry
- Successful use of spreadsheets, report generators, dataset management
- Demonstrated ability to work in a multidisciplinary office
- High degree of personal initiative and ability to work independently
- Demonstrated oral and written communication skills
- Excellent time management, prioritization, multitasking and organizational skills
- Ability to maintain strict confidentiality
