Location: Kitchener, Ontario
Competitive hourly wage : $25-$30/hour (based on experience).
Job Summary & Responsibilities This position provides direct support to the Chief Pilot in the administration, coordination, and development of pilot operations and training programs. The Executive Assistant will play a key role in supporting regulatory compliance, policy development, training initiatives, and daily operational oversight. In addition, the role carries secondary responsibility as a Flight Data Monitoring (FDM) Associate, contributing to trend monitoring, data analysis, and safety-driven improvements that enhance pilot performance and operational efficiency.
Key Responsibilities
- Support the Chief Pilot with day-to-day administrative and operational tasks.
- Assist in scheduling, communication, and coordination of pilot training, line checks, and evaluations.
- Contribute to the development, revision, and maintenance of company manuals, policies, and standard operating procedures.
- Assist in creating and updating training materials, courses, and safety bulletins to support pilot development.
- Help ensure compliance with Transport Canada regulations and company safety management standards.
- Provide organizational and documentation support for audits, inspections, and regulatory submissions.
- Extract and analyze flight data from onboard systems to identify trends, deviations, or safety concerns.
- Prepare clear and accurate reports to present findings to leadership and flight crews.
- Provide data-driven feedback to support training, procedures, and operational decision-making.
- Collaborate with stakeholders across operations, maintenance, and flight departments to provide insights that enhance safety and efficiency.
- Support troubleshooting and technical analysis of data anomalies.
- Actively contribute to the development and expansion of the Flight Data Monitoring program.
Qualifications
- Degree or diploma in aviation, data science, or related technical field.
- Previous experience in airline operations, management support, or FDM systems.
- Familiarity with Transport Canada regulations and SMS (Safety Management Systems).
- Strong organizational skills with attention to detail and accuracy.
- Experience in data analysis, statistics, or safety programs considered an asset.
