##Qualifications

MINIMUM FORMAL EDUCATION/TRAINING REQUIRED:

  • A University degree in a related field is required.

  • Master's level degree is preferred.

  • An equivalent combination of education and experience may be considered.

EXPERIENCE:

  • A minimum of one year of directly related work experience.

  • Knowledge of electronic data collection processes and software.

  • Experience with observational studies or clinical trials and the associated data collection is an asset.

SKILLS & ABILITIES:

  • Ability to read large numbers of documents (accreditation standards, guidelines, etc.) with accuracy and attention to detail in order to meet strict deadlines is required

  • Must be analytical, conscientious, accurate and precise is required.

  • Demonstrated ability to plan, organize, coordinate, and establish work priorities and deadlines

  • Effective oral and written communication skills, with the ability to provide advice and develop and present informational materials is required.

  • Ability to act as a resource person for the success of accreditation or research ethics audit processes is required.

  • Ability to make sound independent judgments and utilize problem solving abilities is required.

  • Ability to establish and maintain effective working relationships with various levels of internal and external contacts is required.

  • Satisfactory work record, including satisfactory attendance and punctuality, is required.

OTHER JOB-REL****ATED QUALIFICATIONS:

  • Experience in supporting administrative processes in higher education for a health sciences discipline preferred.
  • Facilitation of quality improvement projects in higher education is an asset.

##Key responsibilities

Responsibilities:

All support staff, including this position, within the Department of Family Medicine are expected to:

  • Act as a point of first contact for learners and the public; be able to handle questions independently and know when to refer issues on to a faculty member or to senior administrative staff.
  • Develop and maintain strong working relationships with staff of the department and with key stakeholders outside of the department.
  • Be skilled at typing, filing, and preparing minutes.
  • Be able to update the department website with current information.
  • Have an awareness of basic UM financial duties - prepare travel claims, purchase requisitions, etc.
  • Participate in accreditation, research ethics board audits, quality improvement projects, and search committees.
  • Have the ability to maintain confidentiality.
  • Assist in special projects on short notice, as determined by departmental priorities.
  • In concert with the Physician faculty, establishing objectives for educational administrative staff and providing regular feedback to ensure that objectives are met.
  • In concert with the Physician faculty, evaluating the performance of educational administrative staff on a regular basis.

MaPCReN Data Coordination:

  • Support the provincial MaPCReN research team and the pan-Canadian research team with programming to monitor, extract, and report on data quality, for various health research projects, reports and publications.
  • Support extraction of anonymous health information data from electronic medical records, including data cleaning, data quality and troubleshooting IT issues in a timely manner, with supervision.
  • Support data management strategies, including assessing the integrity of the data, ensuring quality control and completeness, with supervision.
  • Support semi-annual submission of data to CPCSSN and other local repositories as directed.
  • Implements, tests, and evaluates Extract Transform Load (ETL) processes to ensure data are being stored properly, with supervision.
  • Enforces standards regarding project initiation, compliance with policies and procedures, DCPs, coding, documentation, project closure and other standards and practices. This includes maintaining up to date standard operating procedures.
  • Participate in regular MaPCReN Data and Recruitment meetings, and support ongoing provider recruitment and audit activities.
  • Informs the research process, providing knowledge of the database and data.
  • Using primary care EMR data, develop reporting templates for longitudinal surveillance and quality improvement reports for participating primary care providers.
  • Maintain data dictionary documentation.
  • Write reports summarizing extraction results
  • Perform other tasks and responsibilities as required in support of the unit or department within scope of this position.

Other:

  • Support data extraction and reporting from the Entrada learning management system and build reports based on data related to learner progress and competencies.
  • Support development of automated location reporting for rotations/placements across the various programs in the department of family medicine.
  • Develop reports for end of rotation evaluation.
  • Develop reports for faculty evaluations.
  • May be required to perform related duties not exceeding skills and capabilities as required.
