The base salary will be $62,480 to $73,460 per annum. Starting salary will be aligned with the successful candidate’s experience, skills, and demonstrated qualifications.

##About Us

An integral part of Advancement Operations, the Finance team is responsible for the management of the financial records for all fundraising and alumni engagement activities. This unit ensures all University’s financial policies and processes are followed, provides gift processing and alumni services, cash management, gift receipting, and pledge fulfilment services according to CRA and gift counting practices. The unit also supports all financial reconciliation processes, accounts payable, credit card tracking, and expense reimbursement submissions for all departments across Western Advancement. In addition, they are responsible for the Western Advancement’s budget planning and reporting processes, benchmarking submissions and year-end audit and T3010 requirements.

##Responsibilities

The Gift Services Coordinator is responsible for supporting the planning, implementation and evaluation of the gift services program, which is integral to the stewardship and relationship management of donors. The role will ensure that gifts, grants and sponsorships are acknowledged in a timely manner, and that a donor-centric approach is upheld during all interactions, to enhance the donor experience and enable alumni and other constituents to connect and engage with the University. The Gift Services Coordinator will research best practices at other Universities and provide recommendations for enhancements to business processes, and assist with the collection of comparative data for the purposes of program evaluation, benchmarking and goal setting. The role will process sensitive information and perform a variety of tasks in accordance with a broad set of policies and procedures, while maintaining confidentiality and the highest regard for the value and integrity of donor records.

##Qualifications

Education:

  • Undergraduate Degree

Experience:

  • 2 years' experience in a fundraising or donor relations role
  • Experience processing financial data and providing customer service

Preferred:

  • Experience in a higher education or other not-for-profit environment

Knowledge, Skills & Abilities:

  • Knowledge of general office procedures
  • Knowledge of Generally Accepted Accounting Principles (GAAP)
  • Familiarity with best practices in donor records maintenance
  • Communication skills with the ability to converse with, write reports for, and liaise with individuals at all levels of the organization
  • Verbal communication skills to clearly express ideas in an objective manner, and adapt communication style to suit the situation and audience
  • Ability to work in a manner that models best practices in confidentiality standards
  • Self-driven, critical thinker who is highly skilled at anticipating and resolving stakeholder relation issues
  • Decision making skills to provide solutions that are consistent with available facts, constraints and probable consequences
  • Detail-oriented with an ability to function and process information with high levels of accuracy, and to make decisions in validating large data sets
  • Commitment to ongoing professional development with a desire to take on new challenges
  • A well-defined sense of diplomacy, including solid negotiation and conflict resolution skills
  • Ability to multi-task and maintain an organized and effective personal work environment
  • Advanced computer skills in Microsoft Excel, in spreadsheet design and database management; PeopleSoft (Contributor Relations, Higher Education and Financials), BBCRM and Luminate preferred
  • Possess a reputation for resourcefulness with a strong sense of accountability and initiative
  • Ability to create a positive impression while interacting with others and responding to inquiries, by telephone, in person or electronically
  • Ability to use judgment and quickly acquire the knowledge necessary to assess and prioritize demands
  • Proven ability and natural inclination to develop relationships by interacting with people in a professional, respectful and diplomatic manner
  • Familiarity with policies and procedures for gift acceptance and recording, as well as applicable regulations (e.g. CRA Guidelines) preferred
