About the role

Job Purpose

The Office Manager is responsible for supporting the business in all aspects of administration. Managing the ongoing needs of the office while supporting various departments within the organization the Office Manager is integral to the successful day to day operations.

Duties & Responsibilities

  • Main contact for administrative related tasks for all departments;

  • Initial reception for corporate office greeting visitors and staff;

  • Assist Human Resources with administrative tasks (letters, projects, and file upkeep);

  • Assist other departments with projects on an as needed basis;

  • General housekeeping (ordering coffee supplies, water, kitchen groceries etc.) and ensuring cleanliness and organization of administration as well as operations wings;

  • Ordering and maintaining inventory of office supplies;

  • Scheduling meetings and other errands for the President on an as needed basis;

  • Maintain and update Master Employee Lists (housing, travel, etc);

  • Assist with onboarding of new hires by setting up online training, distribution of uniforms, parking passes, orientation, new hire packages etc;

  • Assist with managing and tracking of uniform inventory;

  • Issuing and tracking of company taxi vouchers for rotational employees;

  • Reconcile office based credit cards;

  • Maintain and update Organizational Chart;

  • Lead in the coordination of company social activities (Christmas party, BBQ, Breakup Party, Etc.);

  • Daily mail pick up/drop off for company;

  • Assisting “out of office” errands on an as needed basis;

  • Perform any other duties as required or needed.

Qualifications

Education & Experience

  • Administration diploma or equivalent.

  • 5+ years in an administrative functions.

Skills & Abilities

  • Excellent proficiency with MS Word, Excel, Outlook and PowerPoint.

  • Ability to manage multiple tasks on restricted time lines;

  • Ability to hold a challenging conversation with regards to travel bookings;

  • High degree of professionalism;

  • Solid oral and written communication skills;

Ability to work with limited supervision.

Working Conditions

Position is typically office or administrative work and is not substantially exposed to adverse environmental conditions. Driving in winter conditions is necessary.

Physical Requirements

  • Able to lift up to 20lbs, very occasionally;
  • Repetitive motions;
  • Sedentary work, involves sitting majority of the day.
