Position Description: The Office Assistant serves as the central point of contact for employees, visitors, and vendors—ensuring a professional, welcoming, and efficient office environment. This role is essential in supporting smooth daily operations while fostering a positive and inclusive workplace culture. Reporting to: Senior Manager, Administration Essential Duties & Key Responsibilities: Serve as the first point of contact for visitors, staff, and partners by welcoming guests, answering inquiries, and providing guidance in a professional, friendly manner. Manage incoming phone calls through a multi-line system; route and/or resolve inquiries efficiently and professionally. Coordinate deliveries, building access, and maintenance needs while maintaining security and confidentiality. Act as liaison with vendors, service providers, and building management. Maintain appropriate confidentiality of staff, contacts, and office information; escalate office security concerns to the Manager or local senior management, as appropriate. Maintain organized and well-stocked office spaces, including reception, break rooms, kitchens, and meeting rooms. Travel Coordination Arrange travel and accommodations for employees and company guests. Serve as the primary resource and point of contact for travel-related questions and assist employees with travel issues or concerns. Research, negotiate, and secure competitive rates with airlines, car rental companies, and hotels. Review travel itineraries, bookings, and vendor agreements to ensure all required details and specifications are accurate. Ensure safe and efficient travel operations are conducted in accordance with organizational policies and guidelines. Code expenses related to travel bookings and submit them for approval through Concur. Administrative Support Provide general administrative support, including scheduling, supply management, and responding to staff requests. Organize and coordinate office events, meetings, and travel logistics. Operate office equipment and computer applications to support administrative requests. Escalate competing priorities for supervisor input and follow through on commitments, as appropriate. Team & Culture Work closely with team members to ensure smooth office operations and foster a positive, inclusive workplace environment. Serve as a key member of the Social Committee. Embrace company culture, values, and Diversity, Equity & Inclusion (DE&I) initiatives. Assist with other activities, duties, and responsibilities as assigned. Skills & Knowledge: Computer knowledge and demonstrated accuracy with spreadsheets, databases and word processing software as well as the ability to perform basic internet and intranet functions. The ability to communicate clearly, both verbally and in written is essential. The desire and ability to continually upgrade skills and abilities is required. Demonstrated ability with the following competencies: Customer Focus: Identifying and responding to current and future customer needs; providing service excellence to internal and external clients. The receptionist must be friendly, personable, and approachable, since much of the work involves close contact and communication with clients, customers and prospective employees. Adaptability: Adapting own behaviors to work efficiently and effectively in light of new information, changing situations and/or different environments. Acting as a corporate resource, having the ability to identify and deal with issues proactively and persistently. Results Orientation: Focusing personal efforts on achieving results consistent with the organization’s objectives. Teamwork: Working collaboratively with others to achieve common goals and positive results. Qualifications: High School diploma or GED and minimum of 2 year of administrative, clerical, or customer service experience or in office setting or service industry or equivalent combination of education and/or experience Approachable and customer service-oriented with proactive, positive, and professional attitude Professional phone skills with clear verbal and non-verbal communication skills Experience answering multi-line phone systems, preferred Good judgment and ability to complete requests in time sensitive environment Active listening skills and timely follow-up practices Attention to detail and organizational skills Work with management oversight Office administration skills Basic computer navigation skills, data entry skills, familiar with Microsoft Office suite of applications, and familiar with general office equipment Ready to build your career with us?
