What You Bring DCC’s Communications department is an energetic group of professional communicators looking for its next business support champion. You will excel at keeping a busy team organized and supporting senior leaders. As the successful candidate, you bring to the role relevant experience in essential business management functions such as budget forecasting, monitoring and reporting; researching and writing reports to support Director presentations; managing complex, integrated production schedules for multiple, concurrent creative projects of varying scopes and administering the Department’s HR transactions.

Our team operates like a creative agency within DCC, offering support to different business units within the organization. We need an organized administrator to maintain effective processes and tools and keep everything on track. Your attention to detail, analytical thinking and creative problem solving, combined with your maturity to engage comfortably with senior leadership when appropriate, make you the ideal candidate.

You will be responsible for ongoing record management, maintaining team calendars, processing invoices and time entry, flow of HR documentation, tracking staff training schedules and project coordination. In this role, you will have the opportunity to grow your professional profile by learning and providing support to diverse communications functions on the team.

Your Opportunity And Responsibilities As Administrator, Communications, you will show initiative in providing administrative and budgeting support to the Director, Communications and the Communications Business Partner, and in supporting the delivery of a range of dynamic projects for a vibrant Crown corporation. Among other activities, you will:

  • Provide daily office management and general administrative support, including:
  • Maintaining records, filing and tracking systems
  • Tracking budget expenditures, accruals and timesheets
  • Preparing presentation packages for director meetings
  • Research and write Communications-related briefing notes; and meeting minutes
  • Support the Communications Business Partner with ongoing client projects
  • Oversee internal client relations, including keeping stakeholders up to date on schedules and working on peer-to-peer projects
  • Manage merchandise inventory for tradeshows and events
  • Perform human resources administrative functions for the communications team (e.g. prepare onboarding schedules, manage administration of onboarding, prepare time-entry, track and manage team IT needs)
  • Provide support for diverse communications functions such as digital media.

Your Skills, Experience And Fit With Our Organization DCC’s next Administrator, Communications comes with experience and skills such as:

  • Minimum: college diploma in administration, media, communications, marketing or a related field with four years’ relevant experience, or the equivalent
  • Preferred: university degree in one of the above fields; membership in the Association of Administrative Professionals or International Association of Business Communicators; completion of a Canadian Certified Administrative Professional program; Project Management Professional designation; business/office management experience.
  • Proficiency with project management
  • Experience with administrative and accounting systems (experience with Adaptive Insights is an asset.)
  • Experience in customer service
  • Technically proficient and able to learn and adapt to new systems and software quickly

Typically to be eligible for a "Reliability" clearance, you must have five years of verifiable background information and to be eligible for a "Secret" clearance, you must have 10 years of verifiable background information.
