Hours of Work: 70 hours bi-weekly
Shift Work Required: No
Range of Pay: Group 8 - $28.85 to $33.49 per hour
The start date will follow the selection process.
The eligibility to work remotely is to be determined.
Main Function: Reporting to the Co-ordinator of Finance, this position is responsible to perform timekeeping and finance functions for the Fire Services Division and Paramedic Services Division.
Duties:
- Input information required for preparation of payroll for employees of Fire Services and Paramedic Services.
- Maintain contact with the Human Resources Division regarding temporary changes in employee status, benefits and other related matters.
- Keep records of employees’ holidays, vacation and attendance and maintain and update records.
- Record occupational injuries and illnesses for employees and maintain associated records.
- Schedule Paramedic and Equipment Vehicle Technician staff in accordance with pre-established operational requirements.
- Process and schedule requests for time off, shift exchanges and vacation in accordance with established practice.
- Communicate schedule information to employees, payroll and Human Resources staff, including posting of the schedule.
- Provide employees with standard forms and submit completed forms to the Human Resources.
- Maintain overtime worked/offered records and call out lists, distributing same to management and all bulletin boards for call out requirements.
- Distribute employee pay stubs.
- Ensure purchases are carried out in accordance with City of Greater Sudbury (CGS) Purchasing By-Law.
- Process invoices for approval, including PeopleSoft requisitions and purchase orders, and forward to the Financial Services Division for payment.
- Monitor, compile and report on capital expenditure variances.
- Monitor budgets for special projects.
- Maintain filing systems.
- Complete recruitment or personnel forms for employees of Fire Services and Paramedic Services and submit same to the Human Resources.
- Assist other staff with their duties during periods of overload, vacation or absence.
- Provide support to the Emergency Operations Centre (EOC) on a 24/7 basis as required, in the event of a declared emergency or disaster.
- Develop and maintain a thorough working knowledge of CGS’s Safety Manual and the applicable Provincial legislation listed therein.
- Perform other related duties as may be required.
Qualifications
- Successful completion of Secondary School (Grade XII) Education and at least one post-secondary education including courses in Payroll, Accounting and/or Human Resource Management.
- Over one (1) year up to and including two and one half (2½) years of related and responsible experience.
- Knowledge of emergency services terminology and processes considered an asset.
- Knowledge of PeopleSoft functionality relating to Payroll, Human Resource Management, Accounts Payable and Purchase Order modules.
- Knowledge of Kronos functionality as it relates to scheduling and payroll an asset.
- Demonstrate keyboarding (a minimum 40 words per minute).
- Demonstrate ability related to microcomputer software and administrative systems in a Windows environment (i.e. payroll, word processing, file maintenance, spreadsheet applications, and information input and retrieval).
- Demonstrate interpersonal skills in dealing with the public, staff and outside agencies in a courteous and effective manner.
- Excellent use of English; verbally and in writing.
- French verbal and written skills an asset.

Development opportunity range of pay: $28.04 to $32.82 per hour. The successful candidate will be paid at the reduced range until the minimum qualifications have been met.
