Salary range for the position is $74,618 to $107,264. Interior Health establishes salaries within the minimum and maximum of the salary range based on consideration of the qualifications, experience of the applicant, and an internal equity review of the salaries of other employees.

How will you create an impact:
The Leasing and Planning Coordinator is responsible for supporting the Leasing portfolio in all aspects of day to day operations and will collaborate with a wide variety of internal and external partners in order to successfully coordinate projects taking place in leased space throughout the Interior Health region. The Leasing and Planning Coordinator will operate in a dynamic environment and support multiple projects and initiatives concurrently; ensuring competing needs are prioritized to meet milestones and partner expectations and strengthening Interior Health’s oversight of leased assets, thereby ensuring continuity of operations of key clinical services.
In alignment with IH’s Occupational Health & Safety Program, employees shall adhere to all Occupational Health and Safety policies and procedures at all times and attend all required training. Employees are responsible to report any identified hazards, unsafe conditions or incidents to your manager or supervisor immediately.
What will you work on:

Supports the Manager and Director in managing the leased portfolio, including maintaining the renewal processes, amendments to leases, new/terminating lease agreements, and consulting with program managers and directors to assist in the planning process for existing and future leased facilities, recognizing the unique design and operational elements needed in a wide variety of health care services.

Collaborates and builds relationships with internal partners including site leads, managers, facility management, and other business partners for ongoing operational requests, and to understand the functional requirements of the applicable health care services.

Identifies gaps in processes and project plans; develops and recommends strategies to respond to current and future leased space needs.

Applies space planning utilization analysis using established processes to determine if potential leased locations will meet the needs of the required services.

Coordinates required consultants such as hazardous material consultants, commercial building inspectors, applicable engineers, and design consultants involved in leased facility assessments.

Engages directly with external partners including Commercial Property Owners and/or Agents for existing leased contracts and relationships.

Preparation of lease, offer to lease, and other related commercial legal documents.

Facilitates user group planning sessions related to the identification of potential leased facilities, assessment of the site’s suitability within the community, and working with other internal partnerships involved in coordinating the planning for the required Leasehold Improvements.

Provides project coordination and support to the project management lead for leased space projects from initial user group meetings, through to site identification, addressing site-building deficiencies with Property Owners, and support to the completion of the lease agreement.

Provides project coordination for the commissioning and decommissioning leased spaces, providing key information to relevant user groups.

Supports the Manager in maintaining financial stewardship of leased sites, including preparing budget estimates, reviewing annual leasehold improvement budgets, and producing and performing analysis on financial reports. Works collaboratively with internal partners in Business Operations, Accounting, and Capital Finance to strengthen financial controls of leased sites and activities.

Coordinates activities of the Building Operations Team at the Kelowna Community & Health Services Centre.

Performs other related duties as assigned.

Education, Training and Experience

A bachelor’s degree in a relevant field.

Three (3) to five (5) years of related work experience.

Or an equivalent combination of relevant education and experience.
Skills and Abilities
- Knowledge of project management methodology and techniques, including the ability to produce quality detailed work, while driving process and managing goals.
- Demonstrated innovative thinker with the ability to translate ideas into process and/or action, including the ability to blend innovative ideas with critical thinking.
- Excellent oral and written communication and interpersonal skills, including the ability to influence others.
- Demonstrated commitment to client focused services and teamwork with direct experience working collaboratively and effectively with various operational program leads.
- Ability to integrate administrative, commercial services and operational aspects of the department in an effective and efficient manner in order to keep project timelines as required.
- Ability to develop space planning benchmarks and standards to apply a consistent approach in determining appropriate space utilization, costing, and fit-and-finish.
- Ability to orchestrate several projects and be able to triage the needs of each project as warranted.
- Solid working knowledge of Microsoft Excel, Word, PowerPoint, and any relevant software systems.
- General understanding of the Commercial Real Estate Market.
- Knowledge of the general Terms and Conditions of a Commercial Lease.
- Knowledge of Health Care Standards and how they impact Tenant Improvements.
- General understanding of construction project management.
- General understanding of construction contracts and payment structures.
- Able to identify potential deficiencies within a facility that is being considered for lease.
- Valid driver’s license and use of a personal vehicle to facilitate travel within a multi-site organization.
- Physical ability to perform the duties of the position.
