##The Opportunity
This is a full-time, in-person role based in Hamilton. You'll be at the centre of daily care operations — coordinating caregiver schedules across our Hamilton and Niagara service areas using AlayaCare, managing real-time changes, and being the connection point between caregivers, clients, and the care team.
You'll report to the Area Manager and work closely with Care Designers and the HR team. The role is high-volume and fast-paced. It's also genuinely meaningful — every schedule you build is care delivered to someone who needs it.
##What You'll Do
###Schedule Management
- Build and maintain caregiver schedules using the AlayaCare platform, ensuring all client visits are staffed for the next 14 days
- Match caregivers to clients based on skill, availability, geographic proximity, and client preferences
- Send shift offers proactively via phone, email, and AlayaCare to fill open visits
- Monitor the AlayaCare dashboard throughout the day for late or missed clock-ins and clock-outs — and act on them
- Coordinate first-visit introductions between new caregivers and clients
###Communications and Relationships
- Answer and resolve incoming calls from caregivers and clients throughout the day — promptly, clearly, and with care
- Respond to scheduling inquiries via email, phone, and AlayaCare messaging
- Contact every active caregiver at least once per month to confirm they're getting their desired hours and that client care is on track
- Work closely with Care Managers to anticipate and solve staffing challenges before they become gaps
###Operations and Improvement
- Enforce scheduling policies consistently and communicate them clearly to caregivers when issues arise
- Identify patterns — recurring gaps, difficult-to-fill clients, caregiver availability trends — and bring solutions to team meetings
- Support the care team with scheduling insights that improve both caregiver experience and client outcomes
##What You'll Need
Required
Strong Asset
1+ year of scheduling or coordination experience
Experience with AlayaCare scheduling software
Experience scheduling field staff, caregivers, or healthcare workers
Background in homecare or community health
Strong phone communication — confident, clear, and professional
Bilingual (English / French or another language)
High attention to detail and data accuracy
Experience with CRM or workforce management platforms
Proficiency in Microsoft Office Suite
Previous exposure to care coordination or client services
Ability to manage competing priorities in a fast-paced environment
High school diploma or equivalent
