We are seeking a Marketing and Leasing Coordinator to join our downtown Toronto team. This role supports our Commercial and Retail Leasing teams by coordinating marketing initiatives, managing administrative processes, and contributing to the successful execution of leasing strategies. The ideal candidate has a strong eye for design, experience in marketing, and exceptional organizational skills, enabling the team to operate efficiently and deliver outstanding service to both internal stakeholders and external clients. KEY RESPONSIBILITIES
- Work with the Commercial and Retail Leasing teams to present innovative ideas for marketing properties and make recommendations for change.
- Create a communication cadence including the planning and development of various communications.
- Highlight properties and make key announcements using various social media platforms.
- Be the key liaison with Findspace ensuring our properties are maintained and highlighted accurately on the Triovest website.
- Coordinate setup and maintenance of property websites.
- Update and maintain property-level branding and leasing signage.
- Create and update all marketing web/print materials using Adobe Photoshop, Illustrator and InDesign (CC preferred).
- When required, work with 3rd party graphic designers on new projects obtaining cost estimates and managing projects while reporting back to the leasing team.
- Coordinate and execute on leasing events including broker receptions and internal and client meetings.
- Coordinate Triovest’s involvement in the ICSC Trade Shows in Toronto, Montreal and Vancouver which includes bookings, booth delivery, Triovest onsite events and property marketing materials.
- Source and select promotional items and giveaways for organized leasing events.
- Coordinate email blasts to the brokerage community on a weekly, monthly and quarterly basis.
- Provide day to day administrative support to the Commercial and Retail Leasing teams.
- Process all marketing and leasing invoices and track for payment.
- Prepare quarterly Competitive Building Reports for properties in various nodes throughout the GTA.
- Prepare presentation packages for property tours, client meetings and property reporting.
- Update and maintain a database of brokers list for the Greater Toronto Area.
- As required, assist with the preparation of the RFP’s ensuring a fulsome and professional property package is compiled and delivered.
- Some travel will be required.
QUALIFICATIONS & ATTRIBUTES
- A post-secondary degree in Marketing, Communications and/or Graphic Design.
- At least two years of marketing/administrative support services experience in commercial real estate or related professional services industry.
- Experience with project management and execution of marketing collateral, knowledge of marketing campaigns and innovative solutions.
- Strong planning and organizational skills with the ability to effectively prioritize tasks to completion.
- Ability to create and coordinate content for proposals by conducting research, preparing surveys, comparative analysis, lease/sale documents, etc.
- Proficient in Microsoft Office, Excel, PowerPoint, Movie Maker and Adobe (Photoshop, Illustrator & InDesign).
- Experience in MailChimp and email marketing automation services.
- Dedication to delivering exceptional service consistently.
- Adaptability to change with a positive outlook, consistently delivering successful results within specified time frames.
- A team-oriented approach to achieving goals and objectives.
