Part-Time, Temporary (18 months)

HR Administrator

32 hours/week

Waterloo, Ontario

We are seeking a detail-oriented and dedicated Human Resources Administrator to join our team. This role is responsible for accurately processing employee information in the Human Resources Information System (HRIS), supporting managers with documentation, and ensuring compliance with employment legislation and organizational policies.

Key Responsibilities:

Department and Organizational Support

  • Process and verify new hire packages and ensure all documentation is complete and compliant.

  • Enter and update employee data in the HRIS, including classifications, pay rates, and benefit thresholds.

  • Manage changes related to employee contracts, locations, and hours.

  • Respond to manager inquiries regarding contracts and entitlements.

  • Generate and distribute monthly HR reports to ensure compliance with the Developmental Services Act.

  • Coordinate benefit entitlements and communicate changes.

  • Maintain accurate records of Leaves of Absence and liaise with the Benefits and Disability team.

Record Management

  • Maintain and archive electronic and physical HR records.

  • Track and report on documentation such as late or incomplete internal change forms.

  • Manage employee file systems and update employment status changes.

Continuous Improvement

  • Ensure data accuracy and integrity in the HRIS.

  • Collaborate with HR and payroll teams to improve systems and processes.

  • Actively participate in departmental initiatives and team activities.

Requirements:

  • College Diploma in a related field, preferably Human Resources

  • Minimum 1 year of administrative experience

  • Strong problem-solving and communication skills

  • Proficiency in computer systems and HRIS

  • Ability to manage confidential information with accuracy

  • Organizational and multitasking abilities
