Overview:

As the Director, Operations and Business Services, you are accountable for leading day to day operations, business services, and administrative functions. You ensure facilities, systems, policies, and processes operate efficiently, safely, and in compliance with regulatory and accreditation standards. You work closely with the Executive Director to support strategic planning, budgeting, staffing, risk management, and continuous improvement. You oversee operational planning, facilities and safety, compliance, quality assurance, performance reporting, and cross functional collaboration. Your role supports strong staff engagement, high quality patient experience, and long term organizational sustainability.

Duties and Responsibilities:

  • Oversee and support the daily operations of the facility, operational systems, processes and infrastructure, while looking for opportunities for improvement or revision
  • Develop, monitor and execute on operational plans
  • Manage and oversee office services functions including coordinating office arrangements for business units, office equipment, furniture, supplies, vendors, and assigning other assets as necessary
  • Update and maintain operations manual
  • Track staff requests pertaining to operations and liaise with Maintenance Supervisor for oversight on facility health and safety maintenance
  • Maintenance and modification of facility health and safety and emergency response plans, as well as ensuring adherence to these plans
  • Maintain current professional insurance policies and act as a point person for insurance certificate requests from staff, vendors and clients
  • Serve as a purchasing agent for organization
  • Serve as a contact person/back-up to for emergencies
  • Establish procedures, practices, and work methods to increase effectiveness, efficiency and patient satisfaction within the administration and operating departments
  • Assist in the management of building security
  • Ensure all legal and regulatory documents are filed, and monitored to ensure facility compliance with any and all laws and regulations, such as local fire codes and licensing authority
  • Maintain official records and documents, while ensuring compliance with federal and provincial regulations
  • Promote the mission and values of the organization both internally and externally, as well as oversee the adherence to the values and mission, and as they may change from time to time
  • Assess operational issues in regard to competitiveness, staying current in terms of health care trends and innovations
  • Demonstrate knowledge of, and promote the company mission, vision, value statements, standards, policies and procedures, operating instructions, confidentiality standards, and the code of ethical behavior
  • Assist and participate in developing a process to gather continuous feedback from clients and also staff
  • Work with the Management team to foster staff engagement
  • Serves as the co-chair of the Joint Occupational Health and Safety Committee,
  • Ensure building variances are submitted and requirements are met
  • Ensure policies and procedures are in place to address administrative, staff and safety issues pertinent for a residential treatment facility; keeping with the Accreditation Canada standards and the Residential Care Regulations per the Community Care and Assisted Living Act for the Island Health Authority
  • Work with the Executive Director and Executive Assistant to ensure Edgewood meets Accreditation Canada standards and complete the necessary processes for meeting these standards
  • Work closely with the Executive Director on special assignment and departmental projects
  • Oversee and report weekly, monthly, quarterly, and annual metrics in part to anticipate and track operational and tactical risks, and to provide strategic solutions
  • Complete reasonability testing and information validation prior to circulating findings and recommendations to key stakeholders
  • Play a significant role in long-term planning, project status reporting, and implementing change control processes
  • Develop, implement, review and maintain quality assurance protocols, operational policies and procedures
  • Grow the efficiency of existing organizational processes and procedures to enhance and sustain the organization's internal capacity
  • Actively pursue strategic and operational objectives
  • Partner with cross-functional, regional and national support teams in improving the proprietary of tools and systems
  • Make important policy, planning, and strategic decisions
  • Work closely with the Executive Director to foster values, mission, and plan for short and long-term goals
  • Work closely with Executive Director to ensure operational activities remain on time and within a defined budget
  • Work closely with the Executive Director to track staffing requirements and aid in hiring new employees as needed
  • Develop Edgewood Treatment Centre's annual training plan to embed mandatory and other training as determined with the Executive Director
  • Identify and address problems and opportunities for the company
  • Build alliances and partnerships with other organizations
  • Address employee performance and/or misconduct with staff when necessary, using consistent and appropriate processes and approaches
  • Monitor departmental performance against goals to ensure that progress is being made, and that corrective action is taken if necessary
  • Other duties as required

Qualifications

  • Post secondary education in business administration, health administration, operations, or a related field.
  • Senior operations leadership experience in healthcare, residential care, or a regulated environment.
  • Experience overseeing facilities, safety, compliance, and administrative operations.
  • Working knowledge of accreditation, licensing, and regulatory requirements.
  • Experience supporting Accreditation Canada standards.
  • Strong experience with budgeting, operational planning, and performance reporting.
  • Proven ability to lead teams, manage vendors, and oversee contracts and purchasing.
  • Strong decision making and organizational skills.
