Position Summary
The Event Coordinator – Stampede Zone Lead plays a key role in ensuring the seamless execution of event operations within their assigned zone. Acting as the central hub for communication and coordination, this role connects multiple teams—including Program Activation Leads, Trades Superintendents, Asset Managers, Park Maintenance, and Park & Facilities Administration—to keep plans aligned and on track.
The Event Coordinator – Stampede Zone Lead oversees logistics, collaborates with third-party suppliers, and ensures all site and safety assessments meet required standards and legislation. Working closely with Zone Leads and the Project Manager, Event Coordination, this position helps deliver exceptional event experiences by keeping timelines, safety, and quality at the forefront.
This is a seasonal, part-time position running from February to August**,** with weekly hours ranging from 24 to 44, depending on the phase of event preparation and execution.

Responsibilities
Responsibilities of the role include, but are not limited to:
Event Infrastructure and Operations Management
- Work in collaboration with multiple Stampede teams to plan and schedule the build of temporary 10-day festival infrastructure
- Manage and Monitor timelines for procurement, setup, progress and removal of infrastructure adhering to project timelines
- Oversee planning and operations of the Stampede zones including:
- Services and Utilities
- Waste Management
- Asset placement in relation to CAD
- Fencing and Scrim layout
- Support Parking and Agriculture stakeholder needs
- Respond quickly and proactively to all stakeholders
Venue Design and Site Management

Utilize detailed computer-aided design (CAD) to ensure activations are placed as planned and all relevant information for asset placement, waste management planning and fencing/scrim plans are captured.

Collaborate with the Trades Superintendent to ensure work processes are being executed proficiently

Create and maintain document control standards outlining all steps in the planning and execution process.
Permits and Licensing
- Responsible for obtaining and managing all necessary consents, permits, and licenses from third-party providers to ensure full compliance with all legislated and regulatory requirements.
- Develop and maintain centralized tracking to monitor status, progress and share relevant information across the team.
- Schedule and lead any required operational briefing sessions as required by internal and external stakeholders
- Act as point of contact with local regulatory agencies for regulation compliance and permitting requirements
Project and Budget Management
- With a strong understanding of the budgeting process and fund allocation, works with stakeholders and operational teams to monitor budgets, address issues, and ensure all changes and corrections are properly documented and accountable.
Coordination and Communication
- Act as the primary contact for key operational leads and stakeholders
- Ensure effective timely communication and information distribution to internal and external stakeholders, this would include sharing updates across the onsite teams including daily planning adjustments.
Event Logistics and Operations
- Assist with Operational planning, project delivery and finalization of site readiness of all Stampede logistics in the zone including:
- Utilities
- Waste Management
- Accreditation
- Asset Deployment
Qualifications
The ideal candidate will be proactive, optimistic and have worked in a dynamic environment where they have experience delivering on multiple priorities and will hold the following qualifications:
- Minimum of 2 years’ Event Management or Event Logistic experience in a large-scale sports or entertainment venue
- Exceptional verbal and written communication skills with the ability to communicate clearly and confidently in groups or one on one conversation.
- Strong collaboration and coordination skills
- Understanding of CAD drawings, SmartSheet experience would be an asset
- Strong project management skills and an understanding of budgetary constraints
- Event Management Certificate of Degree would be an asset
- 18 years of age or older
