Responsibilities

The Manager, Administration & Finance is a leadership role that will drive financial stewardship and human resource strategy for Western Continuing Studies (WCS) and the Vice Provost Academic Programs (VPAP) portfolio more broadly. The Manager will support multiple program areas within WCS, including Professional Development, Post-degree Diplomas, Corporate Learning and the Western English Language Centre and will provide financial insight and HR direction to sustain and grow a complex revenue-generating unit that develops and delivers programs in numerous formats. This Manager, Administration & Finance will ensure sound business decisions are made to support the unit’s mission and expansion.

The Manager, Administration & Finance will ensure effective labour force planning, recruitment, retention and policy compliance, liaising with Western Finance and Human Resources as required. The Manager will provide business analysis and strategic support to the Executive Director of Western Continuing Studies, to ensure the strategic vision for the division is reinforced and enhanced with sound business practices and supported with effective talent strategy. Under the direction of the Executive Director, the Manager will align resources and enable innovation and agility in a competitive continuing education landscape.

Qualifications

Education:

  • Undergraduate degree in Business, Finance, Administration, or related field
  • Completion or working towards MBA, CPA, CIM and/or Certified Human Resources Professional is preferred

Experience:

  • 5 years’ experience supporting administrative (Human Resources and Financial) processes for a business, preferably in a unionized environment
  • 2 years of experience managing budgeting and accounting functions, staff and projects, preferably in an organization earning over $5M in annual revenue
  • Experience in strategic planning, implementation and operationalization
  • Experience with project management
  • Experience in an administrative role in a post-secondary environment preferred

Knowledge, Skills & Abilities:

  • Knowledge of key financial budgeting and accounting principles in a revenue generating operation
  • Demonstrated knowledge in financial and business analysis with the ability to communicate issues and present opportunities to key stakeholders
  • Knowledge of project management practices to initiate and implement a project from concept to completion, including clarity on team roles, communication of milestones and accountability for meeting deadlines
  • Knowledge of general office procedures, including records management systems
  • Knowledge of Western policies and procedures preferred
  • Excellent verbal and written communication skills to write reports, explain procedures, chair meetings, and make presentations
  • Ability to handle details with a high degree of accuracy and to organize and prioritize a high volume of work to meet deadlines
  • Ability to work and multi-task in a fast-paced environment, meet tight deadlines and adapt to growth and change
  • Ability to work independently with little supervision
  • Ability to work in a manner that is compliant with confidentiality requirements
  • Ability to remain highly motivated, resilient, innovative, and collaborative in challenging circumstances
  • Results-oriented with the ability to motivate colleagues in meeting high performance standards
  • Interpersonal skills that build strong and positive relationships with team members, colleagues, and vendors and confidence dealing with all levels of an organization
  • Advanced computer skills in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and with specialized databases (PeopleSoft and DestinyOne)
  • Creative problem-solving skills, especially using technology and in financial processes, and sound professional judgment, especially regarding confidential/sensitive matters
