The Opportunity:
The Parkland School Division currently has a Part-time Permanent Transportation Associate (0.533 FTE) position available at Centre For Education in Stony Plain, Alberta.
Function and Purpose of Position
Transportation Associates are the frontline representatives of the Transportation Department who are the first point of contact with students, parents, and the general public. The Transportation Associate will have strong administrative skills and will support the Transportation's front office to ensure tasks are completed in a timely manner. Effective interpersonal skills are essential to deal with a variety of situations that arise. A team player approach to all situations is essential, with friendly and flexible characteristics being a must.

General and Database Processing
- Maintains and updates the student transportation database.
- Ensures student database and bus route lists are current and accurate.
- Communicates with contractors and their drivers to ensure that information relevant to the assigned bus route is correct.
- Provides attendance boundary, routing, and scheduling information to parents, students, schools, and the general public.
- Utilized PSD software and equipment to support safe and efficient transportation services.
- Communicates with parent(s)/guardian(s), schools, and the general public regarding transportation-related inquiries.
- Resolving conflicts related to transportation services with parent(s)/guardian(s), students, schools, and the general public.
- Collaborate with schools and other Departments within The Parkland School Division to ensure Divisional guiding principles are maintained.
Clerical and Administrative
- Processing transportation registration/application requests within the appropriate time frame.
- Issuing bus passes/RFID cards for parents/guardians, bus operators, and schools as requested.
- Providing routing and schedule information to parents/guardians and school principals as required.
- Inputting and analyzing data within the transportation logistics software package.
- Ensuring that contractor and bus operators are provided with information relative to transportation services.
- Providing routing, scheduling, and attendance boundary information as required.
- Dispatching buses to/from schools.
- Operating a two-way radio.
- Responding to inquiries/requests received via phone, email, and contact forms within the appropriate time frame.
- Receiving and resolving complaints/concerns or forwarding them to the appropriate personnel in a timely manner.
- Reviewing video data as necessary.
- Preparing a monthly Newsletter for contractors, bus operators, and staff.
- Preparing operator packages for start-up.
- Invoice data entry as required.
- Ability to cross-train and assist Customer Service Associate as necessary.
- Providing clerical support as required.
- Performing other duties as assigned by the Transportation Supervisor.

EDUCATION AND EXPERIENCE
a) Education:
i) Office/Administrative Assistant Certificate or Diploma is required or equivalent
ii) VersaTrans Software Training or Logistics software is considered an asset
iii) Emergency First Aid Certification
b) Experience:
i) Minimum 3 years' related experience in a fast-paced office environment
ii) Knowledge and experience with student transportation is an asset
iii) Proficiency using Microsoft Office Programs - Word, Excel, PowerPoint, and/or Google Suite - Sheets, Docs, Google Drive
iv) School bus/transportation industry experience is an asset
v) Excellent word processing and organizational skills
vi) Valid driver's license. Class 2S is considered an asset

Physical Demands
- Some sitting, standing, moving, lifting and bending (or a combination of these movements) and some physical effort required. (ie. Retrieval of video equipment in school buses, GPS connections, installation of harnesses, etc.)
- Use of headsets due to the volume and length of phone calls.
Working Conditions
Secretaries work indoors except when supervising children outdoors or going on field trips.
Secretaries may have the same holiday schedule as teachers, including a long summer break as well as winter and spring breaks. However, they work on a ten-month contract basis and therefore are not paid during the summer months.
The scheduled hours to be worked will be determined by each specific position.
