About the role
Position Purpose and Summary
The Administrative Assistant for Student Life coordinates services that are offered to students, staff and faculty through the Student Life Office and provides administrative support for the staff of Student Life, as well as support for the Service Hub for walk-in requests.
Key areas of Accountability
- Administrative and Operational Support
- Serve as the first point of contact for students, staff, faculty and guests of the University to greet, direct or give support for whatever their needs are.
- Serve as a Customer Service/ Service Hub expert for the campus. This would include keeping up with all the processes (help desk, housing applications, financial aid, Grad audits, etc) that other departments across campus are in charge of and knowing how to connect students, staff or guests to those services either electronically or in person.
- Coordinate between the event approval process (approving or declining events), booking the rooms or specific areas for events and for student, staff and faculty events and meetings.
- Provide administrative support for all of Student Life staff, including:
- Booking staff meetings
- Student leadership support
- Answering phones
- Distributing mail
- Responding to e-mail inquiries
- Collecting of keys.
- Maintain office supplies needed for the functioning of the Student Life Office – including ordering office supplies for the division, driving reimbursements, keys, paper orders, etc.

Job Standards and Requirements
Education and Certifications: Bachelor’s Degree preferred. Grade 12 and significant experience will be considered.
Experience: 2 – 3 years of related experience required. Experience in a higher education institution preferred.
Knowledge: Bachelor’s Degree preferred. Grade 12 and significant experience will be considered.
Skills:
- Excellent interpersonal and communication skills with a client-centered and service-oriented approach.
- Excellent, grammatically correct 45 wpm
- Knowledge of Microsoft office Suite
- A high capacity for planning, organizing, prioritizing, and implementing a large volume of work that meets required timelines and deadlines.
- Cheerful and efficient while interacting with a large variety of staff, students, faculty, and visitors.
- Superior ability to work under pressure while handling a multitude of interruptions and tasks
- Strong organizational skills, attention to detail, and ability to manage multiple tasks at the same time.
