Position Summary

Join our marketing team as aDigital Marketing Operations - Intern, supporting marketing operations with a strong focus on financial compliance and process adherence.

In this role, you will coordinate with internal teams and external agencies on quotations, campaign requirements, and documentation. You will also assist with budget tracking, invoice management, and purchase processes, ensuring all activities align with internal financial controls and audit requirements.

This role is ideal for a detail-oriented individual looking to gain hands-on experience in marketing operations, financial governance, and cross-functional coordination.

Role & Responsibilities

1. Agency Coordination & Vendor Management

  • Liaise with external (registered) agencies for campaign briefs, quotations, and timelines. Setting up meeting with tendering committee for critical projects.
  • Compare and validate vendor quotes against scope and budget guidelines
  • Track deliverables and ensure timely submission of required documents (SOWs, estimates, invoices)

2. Financial Process Support

  • Assist in raising purchase requests (PRs) and tracking approval workflows

  • Support budget tracking across campaigns to ensure alignment with allocated spends

  • Coordinate with finance teams for invoice processing and payment status updates

3. Compliance & Audit Adherence

  • Ensure all marketing activities follow internal financial policies and procurement guidelines, and all necessary approvals are in place
  • Maintain proper documentation for audits, including approvals, contracts, and invoices.
  • Support periodic audit checks by organizing and validating required records

4. Documentation & Reporting

  • Maintain organized records of all marketing-related financial and operational documents
  • Prepare trackers for budgets, PRs, invoices, and campaign spends
  • Assist in generating reports for internal reviews and financial reconciliation

5. Cross-functional Coordination

  • Work closely with marketing agencies, internal procurement, and finance teams to ensure smooth execution

  • Follow up on approvals and resolve process-related bottlenecks with rationales

  • Ensure timelines are met while adhering to internal processes and compliance standards

Skills & Qualifications

  • Strong attention to detail with a process-driven mindset

  • Good understanding of basic financial concepts (budgets, invoices, approvals)

  • Proficiency in Microsoft Excel and PowerPoint for tracking and reporting

  • Strong organizational and documentation skills

  • Effective communication skills for coordinating with internal teams and external agencies

  • Ability to manage multiple tasks and meet deadlines in a fast-paced environment

  • High level of accountability and adherence to compliance and process guidelines

Preferred Qualifications

  • Prior internship or hands-on experience in marketing operations, finance coordination, or procurement processes

  • Familiarity with purchase order (PO) systems, invoice processing, and budget tracking tools

  • Experience working with external agencies or vendors in a coordination role

  • Basic knowledge of financial compliance, audit requirements, and internal approval workflows

  • Proficiency in Excel (e.g., trackers, basic formulas, data organization) and reporting tools

  • Exposure to ERP systems (e.g., SAP, Oracle) or marketing workflow tools is a plus

  • Strong attention to detail with the ability to manage documentation and compliance requirements effectively

The expected base salary range for this role is CAD 18–22/hour. Final compensation will be based on a variety of factors, including experience, skills, and qualifications relevant to the position. This job posting represents a current opportunity within the company.
