Position Description

As a key member of the IMT Project Management Office the Change Manager - focused on the human side of change - provides leadership and direction to stakeholders regarding the PMO's people change management methodology, principles, standards and guidelines. Working closely with various Project Managers and the Senior Manager of the PMO, the position will oversee the planning and delivery of multiple change management work packages and provide support for the for the PMO team through coaching and leadership.

Here's What You'll Get To Do

  • Apply a structure or change methodology (e.g. Prosci ADKAR model) to guide individuals and or formulate a customized and scaled strategy for managing the people side of an initiative
  • Act in varying capacities dependent on project need - either in an advisory role to the Project Manager/Team or as a formal project team member required to plan and execute
  • Equip and enable the required roles to facilitate change management, and supporting them by providing tools and strategies to help them fulfill their roles in the change process
  • Collaborate with project managers to ensure that the technical side of change (e.g., system implementation) is integrated with the people side (e.g., user adoption)
  • Accountable to ensure change management work packages are delivered on budget, within scope, and within the timelines set
  • Provide leadership to the project team by building and motivating team members to project goals related to change management
  • Keeps current on change management research and applies new approaches to projects and analyzes their impact and success
  • Ensures alignment with Change Management Methodologies and Corporate Communication principles by working closely with Organizational Development/Human Resources. Aims to develop a change management strategy framework and leads the implementation of the strategy for the HIS project, based on awareness of specific projects and the groups being impacted by the change. Determines the best approach to implement given the unique hospital and/or portfolio culture and requirements
  • Integrates change management activities into the project and applies the change management methodologies. Based on the methodology, conducts readiness assessments, evaluates results and presents findings in a logical and easy-to-understand manner, resulting in a set of actionable and targeted change management plans, including communication plan, sponsor roadmap, stakeholders assessment, coaching plan, training plan, resistance management plan and post go-live user adoption monitoring and sustainability plan
  • Creates two-way communication forums and mechanisms to gather stakeholder feedback and input for consideration at all stages of the project e.g. design, UAT; and to assess levels of stakeholder acceptance throughout the project
  • Is an active and visible coach to change and project sponsors. From project initiation to implementation, assists leaders in their role as change agents and in stakeholder engagement practices
  • Creates and manages measurement systems to track adoption, utilization and proficiency of changes initiatives
  • Conducting workflow analysis to establish an understanding of current vs future state to aid in change planning
  • Establish change plans (in the form of Gantt charts, flowcharts, calendars, resource schedules, budgets, other reports, etc.) to ensure awareness and visibility for various project audiences
  • Participate in the PMO in establishing practices, templates, policies, tools and partnerships to expand and mature these capabilities for the organization
  • Develop and deliver comprehensive progress reports, proposals, requirements documentation and presentations to various audiences, including project team, sponsors, CIO and key stakeholders
  • Work with cross-functional teams, this role will be responsible to obtain buy-in and support, to ensure the success of projects
  • Collaborate with leaders and other Project Managers to coordinate dependencies across projects

Here's What You'll Need

  • Undergraduate or graduate degree in Business, Healthcare or a related discipline
  • Certificate in Change Management is an asset
  • Project Management knowledge or certification (PMP) is an asset
  • Experience in a healthcare setting is an asset
  • 5+ years of experience in developing and implementing Change Management plans for large-scale initiatives
  • An advanced understanding of how people respond to change and the change process
  • Experience and knowledge of change management principles and methodologies (i.e. ADKAR)
  • Familiarity with project management approaches, tools and phases of the project lifecycle
  • Exceptional presentation, facilitation and communication skills, both written and verbal
  • Adaptability, flexibility and high degree of resilience; proven record of strong work ethic
  • Ability to work in large-scale and complex project team environment, with multiple and varied stakeholder groups
  • Draws upon expert level negotiation skills, and conflict resolution strategies, to work with external and internal stakeholders, obtaining buy-in and support to ensure the success of projects and achievement of win-win strategies for all parties
  • Ability to effectively influence, interact and collaborate with senior level management, and prepare and present oral and/or written technical reports and project presentations
  • Ability to manage conflict with difficult stakeholders, project team members and/or external vendors
  • Structured thinking and sound/logical judgments to influence change
  • Ability to investigate, identify, and deliver strategic/tactical results
  • Excellent time management, problem-solving, negotiating, analytical and problem-solving skills
  • Exceptional facilitation, presentation, and leadership skills
  • Excellent team collaboration and conflict management skills
  • Creative, self-directed, innovative, results and detail oriented
  • Demonstrate a commitment to equity, diversity and inclusion
  • Experience working within Smartsheet Project Management Software is considered an asset

Employment Type: 1 year CONTRACT with benefits. Opportunity for extension.
