About the role
Overview
Reporting to the CEO, the Facilities Manager is responsible for the maintenance, safety, and efficient operation of a diversified Commercial Real Estate portfolio, including office, retail, and industrial assets. The role ensures optimal building performance, tenant satisfaction, regulatory compliance, and cost-effective operations across all properties. Responsibilities include strategic planning, day-to-day operations, vendor management, capital planning, and team leadership.
Key Responsibilities
Facility Operations & Maintenance
Oversee daily operations of multiple commercial properties, ensuring efficient performance of all building systems (HVAC, electrical, plumbing). Implement preventative and reactive maintenance programs to minimize downtime and extend asset life. Conduct regular property inspections to identify mechanical, structural, or safety issues. Maintain common areas, tenant spaces, and site infrastructure (parking lots, loading docks, landscaping). Respond to facility-related emergencies and coordinate timely resolutions.
Tenant & Property Support
Partner with property management and tenants to resolve building-related issues and maintain high service standards. Support tenant fit-outs, move-ins/move-outs, and operational requirements across office, retail, and industrial spaces. Ensure minimal disruption to tenant operations during maintenance or capital projects.
Vendor & Contractor Management
Source, negotiate, and manage third-party vendors (cleaning, security, snow removal, mechanical services, landscaping). Oversee contractor performance to ensure compliance with service agreements, safety standards, and budget expectations. Coordinate scheduled and emergency service work across the portfolio.
Capital Planning & Asset Management
Support the development and execution of Capital Improvement Plans (CIP) across all assets. Maintain detailed asset inventories, warranties, service records, and lifecycle tracking. Evaluate properties and recommend repairs, upgrades, and sustainability initiatives.
Financial Management & Procurement
Prepare and manage operating and capital budgets for the portfolio. Track expenses, approve invoices, and ensure cost-effective operations. Procure materials, equipment, and services in accordance with company policies.
Compliance, Health & Safety
Ensure compliance with all applicable codes, regulations, and standards (OHSA, fire code, environmental regulations). Develop and maintain emergency response plans and safety procedures. Conduct safety audits and ensure contractor and staff adherence to workplace safety standards.
Staff Leadership & Administration
Supervise facility staff and coordinate workloads across multiple sites. Assign work orders, manage schedules, and monitor performance metrics. Foster a culture of safety, accountability, and operational excellence.
Qualifications
Diploma or degree in Facilities Management, Engineering, Building Operations, or related field CFM, FMP, or related certification considered an asset 10+ years of experience in commercial facilities management (office, retail, industrial) Strong knowledge of building systems, maintenance practices, and regulatory compliance Experience managing vendors, budgets, and multi-site operations Proficiency with CMMS/work order systems and Microsoft Office
Compensation
Annual base Salary of $130,000 - $150,000 Gas Card 407 Transponder Monthly Car Allowance Benefits 4 Weeks' Paid Vacation
