Position Summary The Administrative Assistant I, General is responsible for providing administrative and reception support to the Neuropsychiatry Clinic at Toronto Western Hospital.

Key Responsibilities

  • Support the day-to-day operations of the clinic to ensure efficiency and a positive patient experience.
  • Greet and register patients, activate appointments, and serve as the first point of contact for patients arriving at the clinic.
  • Manage incoming communications including phone calls, faxes, and emails, ensuring timely and professional responses.
  • Respond to general patient inquiries with empathy, discretion, and accuracy.
  • Support the scheduling, rescheduling, and cancellation of patient appointments.
  • Coordinate the intake and processing of incoming referrals in a timely and efficient manner, as directed by the Medical Lead overseeing the referral process.
  • Perform a variety of administrative tasks that support to data tracking, reporting and overall clinic efficiency.
  • Ensure all work aligns with UHN's quality standards and regulatory requirements set out by the College of Physicians and Surgeons of Ontario.
  • Collaborate effectively within a multidisciplinary team of physicians, management, and administrative staff.
  • Provide cross-coverage and backup support across the outpatient mental health clinic portfolio as part of an operational administrative team.
  • Perform other related administrative duties as assigned.

Qualifications

  • Completion of Grade XII or recognized equivalent
  • A minimum of Two (2) years related administrative support experience
  • Experience working in a health care environment an asset
  • Experience with Epic, preferred
  • Experience in a Microsoft Office environment
  • Previous on-the-job computer/word-processing, database and spreadsheet software experience
  • Excellent interpersonal and customer service skills
  • Excellent verbal and written communication skills
  • Excellent organizational and time management skills
  • Ability to produce high quality work in accordance with Hospital standards
  • Ability to use good judgment in assessing difficult situations
  • Knowledge of general office practices, procedures and standards
  • Knowledge of medical terminology an asset
