Department Assistant, Industry Services and Part-Time Trades

Job Summary
The Department Assistant, Industry Services & Part Time Trades (IS & PT) collaborates with the Program Coordinator, Applied and Technical Studies, to ensure the efficient operation of IS & PT.
The Assistant serves as the initial contact and liaison with other offices, individuals, and external institutions and agencies to provide information and resolution on a range of specified issues. The Assistant responds to internal and external inquiries by phone, email, social media, or in person; problem solves as appropriate; and follows up or escalates as required. They manage and monitor the Department’s social media accounts and create promotional documents, materials, and emails to market IS & PT programs. They will work closely with the Program Coordinator on community outreach events.
This role provides general administrative support to IS & PT. They also ensure IS & PT website content is updated and executes social media campaigns across a range of platforms, usually in consultation with the Program Coordinator. The Assistant provides preliminary advising to prospective students on IS & PT courses and programs.
Qualifications
- Completion of a certificate in office administration from a recognized post-secondary institution.
- Minimum three years’ related work experience, preferably in a post-secondary environment, or a combination of work experience in both post-secondary and other relevant environments will be considered.
- Experience in a student-facing or customer service support role.
- Knowledge of UFV and BC Post-Secondary system.
- Knowledge of Industry Services & Part-Time Trades, its programs, and course offerings.
- Excellent knowledge of written and verbal English and office practices and procedures.
- Demonstrated social media skills including the ability to work across a range of platforms.
- Proficient in Microsoft Office Suite (Word, Excel, Power Point, Outlook, Access), FAST, Banner, Adobe, and social media management tools.
- Experience with planning, executing, or providing support for special events, recruitment and marketing strategies, and social media presence.
- Ability to work independently with minimum supervision and ability to multi-task in a fast-paced environment.
- Well-developed customer service skills; ability to deal sensitively, effectively, and professionally with students, staff, faculty and other professional groups as well as the public.
- Conflict management and problem-solving skills.
- Ability to communicate effectively (written and oral) and professionally.
- Excellent time-management, organization, planning, coordination, prioritization, and follow-up skills.
- Ability to remain calm under pressure and maintain confidentiality.
- Ability to successfully recognize, analyze and resolve problems.
