Role description:
Arcadis is seeking a Project Admin to provide comprehensive administrative and operational support to project teams, ensuring smooth execution of project activities and office functions. This role requires a proactive, detail-oriented individual with strong communication and organizational skills, capable of working independently and managing multiple priorities in a dynamic environment.
Role accountabilities:
In this role, you will support project managers and team members by preparing documents, generating reports, entering data, and managing correspondence to ensure smooth project execution. You will be responsible for maintaining project logs, monitoring budgets and milestones, coordinating meetings and appointments, and managing project files, records, and databases. Additionally, you will assist with project and team forecasting by organizing touchpoints, KPI regroup sessions, and billability tracking in collaboration with project managers and project assistants.
You will also serve as the overall GEC manager, interfacing with GEC resources, tracking production and evaluating hours, and generating actionable items. Your responsibilities will include assisting with project setup tasks such as creating opportunities, setting budgets, and identifying personnel needs. Managing incoming and outgoing correspondence, supporting invoicing, and contributing to proposal preparation are key aspects of this role. You will provide administrative support to Technical Directors and Discipline Leads, help with contract and fee letter preparation, and manage email prioritization, filing, and call screening.
Furthermore, you will arrange virtual meetings, maintain project and contact lists, submit expense reports and timesheets, and organize team events and functions. Administering programs and policies, preparing complex written reports and visual aids, and resolving operational issues in HR, Finance, and IT will also be part of your duties. In this role, you will contribute to budgetary planning, support process optimization, ensure compliance with legal and regulatory controls, provide quality review and procedural advice, maintain project libraries, and support quality management activities to promote operational excellence.
Qualifications & Experience:
Technical & Administrative Skills:
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint)
- Intermediate financial skills (budget tracking, invoice processing)
- Basic supervisory skills (team coordination and delegation)
- Strong written and verbal communication abilities
- Developed problem-solving and critical thinking skills
- Commercial awareness and organizational understanding
- Self-motivated and proactive, with the ability to work under broad direction
Interpersonal & Organizational Skills:
- Effective interpersonal and organizational capabilities
- High level of discretion and confidentiality
- Ability to manage rapidly changing priorities and meet deadlines
- Detail-oriented, dependable, and proactive
- Capable of working with minimal supervision
Education & Experience:
- High school diploma required; post-secondary education in administration, business, or related field preferred
- Up to 4 years of administrative or office experience (internships/co-op experience considered)

The salary range for this position is $56,000 - $70,000. The base salary represents Arcadis’ hiring range for this position. Actual salaries will vary and will be based on various factors, such as location, skills, experience, and qualification for the role.
