SALARY:$23.55 to $31.95/hour
Reporting to the Manager of Marketing & Communications, the Administrative Associate is a key organizational resource as the first point of contact for general inquiries and correspondence to the head office and for providing general administrative support to Marketing & Communications and Head Office staff. This position also acts as a backup Reservation Agent and may be required to make reservations and respond to customer inquiries as needed.
KEY ACCOUNTABILITIES
The primary job duties and responsibilities for the Administrative Associate include but are not limited to the following:
- Ensures the smooth day-to-day operation of the Head Office by acting as the first point of contact for all general inquiries from incoming emails, telephone calls and visitors to the head office and directing inquiries and visitors to the appropriate department as required.
- Acts as a backup Reservation Agent and will be required to answer phone calls using the Five9 calling system, make reservations, answer customer queries by chat or email, clear incomplete bookings in the reservation system, and generate sailing manifests for vessels and terminals.
- Providing administrative support to the Marketing & Communications unit. Assisting with typing documents, taking minutes at meetings, preparing reports, creating posters and brochures, completing trackers, making phone calls and conducting basic research.
- Supports the coordination of events and meetings by arranging and booking any internal or external facilities, vendors, caterers, guests, guest lists, invitations etc. Setting up venues for events including refreshments, decorations, tables, signs, etc.
- Supports the Manager of Procurement and Facilities to receive goods and prepare goods for shipping.
- Performs general administrative duties for departments as requested, including photocopying and scanning, maintaining adequate inventory of frequently used office supplies and ordering supplies, and sending, receiving, and distributing mail and courier packages.
- Carries out basic photocopier maintenance, including ordering toner and repair work, and arranges shredding services.
- Maintains key logs for the office building(s) and fleet vehicles.
- Supports the planned maintenance, including insurance and registration renewals, of fleet vehicles and logs users and kilometres travelled.
- Maintains the multi-line telephone system directory and staff email groups in conjunction with the IT Specialist.
- Ensures that all work is carried out in a safe and effective manner consistent with internal policies, procedures, directives and guidelines.
- Performs other duties as assigned by the position manager or senior management.
QUALIFICATIONS, EDUCATION, KNOWLEDGE, WORK EXPERIENCE, and SKILLS
- At minimum, an Ontario Secondary School Diploma or equivalent.
- A certificate or diploma in office administration or related field would be an asset.
- Valid Class ‘G’ Ontario driver’s licence (or equivalent) that is not expired, forfeited or suspended or access to own means of transportation when travel is required.
- Bilingual in the French language would be an asset.
- 1-2 years of experience working in a general administrative position with a proven ability to respond to inquiries and organize multiple priorities in a professional manner.
- Experience working with multi-line phone systems and basic office technology (i.e. printers, scanners) required.
- Experience working with Microsoft Office Suite and electronic information systems an asset.
- Experience in the creation of marketing materials and graphic design would be an asset.

About Owen Sound Transportation Company
The Owen Sound Transportation Company (OSTC) is one of Ontario's largest ferry operators with a highly experienced and dedicated staff providing state-of-the-art passenger, vehicle and cargo transportation services to northern and southwestern Ontario waterways.
Owen Sound Transportation Company is an operational enterprise agency of the Province of Ontario. The OSTC owns and operates a seasonal vehicle and passenger ferry, the MS Chi-Cheemaun, from Tobermory to Manitoulin Island and MV Niska I, a landing craft style ferry between Moosonee and Moose Factory Island on the Moose River, just south of James Bay in Northern Ontario.
The OSTC also provides vessel management services for the Ministry of Transportation for two vessels, the MV Pelee Islander and the MV Jiimaan, operating on the Pelee Island service and a daily air service between the Ontario mainland and Pelee Island during the winter months when the ferry service is not in operation.
