Job Description:

The Clinic Clerical Assistant plays a vital role in supporting the daily operations of the Neurology Clinic. This position is responsible for front desk reception, referral processing, patient scheduling, and administrative support. The ideal candidate is not only detail-oriented and organized but also passionate about learning and applying new tools and workflows—especially within EPIC. They actively seek opportunities to streamline processes, such as adopting paperless referral systems and leveraging email communication features, to enhance clinic efficiency and patient care.

Reception & Front Desk Support

  • Greet patients, visitors, and staff, directing them to appropriate personnel or clinic areas.
  • Register patients, verifying demographics, OHIP and insurance details, and other required information.
  • Explain hospital and clinic policies, including infection prevention and control protocols.
  • Answer phones, manage faxes, and respond to inquiries or redirect them appropriately.
  • Take and relay messages, locate staff, and page healthcare professionals as needed.

Referral Processing & Information Management

  • Receive and log incoming referrals, review for completeness, and follow up as necessary.
  • Enter and update patient information and appointments in EPIC and other databases.
  • Make reminder calls for upcoming appointments.
  • Assist new patients with intake questionnaires and respond to questions within scope.
  • Scan and upload documents to maintain a paperless workflow where possible.

Patient Administrative Services

  • Schedule new and follow-up appointments, managing referrals as appropriate.
  • Cancel and reschedule appointments, ensuring timely communication with patients.
  • Provide instructions for tests and visits within scope of authority.
  • Coordinate with internal departments and external facilities for tests and appointments.
  • Book interpreters and arrange transportation for patients as needed.
  • Notify staff of patient movements, cancellations, and other updates in a timely manner.

Clinic Operations & Clerical Support

  • Update clinic schedules, updating EPIC and UKG as appropriate
  • Respond to external requests for patient information within scope of authority.
  • Order and manage office and medical supplies; maintain inventory and stock supply areas.
  • Process financial transactions for services not covered by healthcare plans and issue invoices.
  • Identify opportunities to improve administrative workflows and implement solutions in collaboration with the team.

Qualifications

  • High school diploma or recognized equivalent (required).
  • Completion of a Medical Terminology course.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Experience with EPIC electronic health record system (required).
  • Demonstrated ability to learn and apply new features in EPIC to improve efficiency (e.g., email functionality, paperless workflows).
  • Familiarity with ambulatory clinic operations.
  • Strong organizational, communication, and interpersonal skills.
  • Proactive mindset with a focus on continuous improvement and process optimization.
  • Ability to multitask in a fast-paced clinical environment.
