About the role

The Corporate Services Associate is a key member of the Corporate Services team, responsible for coordinating internal services, supporting operational excellence, and ensuring a high standard of service across the organization.

Reporting to the VP, Corporate Services, this role serves as the connection between Operations and Corporate Services for multiple internal functions, including service request management, facilities coordination, vendor support, project administration, fulfillment support, and headquarters operations.

While seated at the front reception area and providing backup reception coverage when required, this is primarily an operations-focused role. Success in this position requires strong organizational skills, initiative, accountability, and a commitment to delivering exceptional internal and external service.

The ideal candidate is highly proactive, thrives in a fast-paced environment, and takes ownership of ensuring that important details and requests do not fall through the cracks.

Key Responsibilities

Internal Service Management & Accountability

Own and administer the organization's internal ticketing platforms (Dynamics, F12 Connect, and Zoho). Ensure all service requests are acknowledged, assigned, monitored, and resolved within established timelines. Drive accountability across departments by proactively following up on outstanding requests and escalating overdue items when required. Monitor service levels, identify bottlenecks, and recommend process improvements to improve response times and user experience. Produce regular reporting and analysis on service volumes, trends, response times, and operational performance.

Fulfillment, Shipping, & Receiving

Provide backup support during busy periods or absences for: Fulfillment/shipping/receiving. Administrative tasks. Data entry. Coordination tasks. Assist with sourcing products and vendor research and fulfillment needs. Supporting the VP Corporate Services

Provide high-level administrative and operational support to the VP Corporate Services, ensuring smooth execution of daily tasks and key initiatives. Assist with managing and coordinating key projects, ensuring deadlines are met and resources are effectively allocated. Provide reporting and analytical support. Assist the VP with cross-functional initiatives and strategic projects.

Administrative Support and Backup Duties

Serve as secondary support for office management and reception coverage when the other Corporate Services Associate is unavailable, including but not limited to: Act as the first point of contact for greeting visitors, families, and guests with a friendly and professional demeanor. Answer phones and emails promptly, providing high-quality service in line with the company’s high brand standards. Manage incoming and outgoing mail, ensuring proper distribution to the appropriate departments. Coordinate and uphold workplace presentation and facility standards throughout Headquarters. Perform general administrative duties including filing, scanning, and document management. Maintain internal process documentation and team playbooks. Facilities Support

Coordinate inventory and replenishment of workplace supplies and shared spaces to ensure uninterrupted operations. Assist with upkeep and presentation of Headquarters (internal and external). Coordinate minor office repairs and vendor visits. Help maintain a safe, organized, polished workplace environment. Support meeting room readiness and internal events.

Microsoft 365/SharePoint Support

Maintain Corporate Services SharePoint pages and content. Update announcements, links, forms, resources, calendars, and documents. Support Microsoft Forms, Teams, Lists and related workflows. Help drive adoption of internal systems and self-service tools.

Other Responsibilities

From time to time, the Corporate Services Associate may be assigned additional duties and responsibilities, consistent with the nature and scope of the position, to support the effective operation of the organization.

Ideal Candidate Has

Education

A degree or diploma from a recognized college or university is required. Experience

3+ years experience in operations, administration, or similar roles. Proficient in Microsoft 365, Teams, and SharePoint. Experience in supporting senior leadership, managing cross-departmental initiatives, and maintaining office operations with a focus on delivering high-quality service and maintaining organization efficiency. Strong project management skills, with a proven ability to lead and coordinate multiple projects simultaneously, ensuring timely and efficient delivery. Excellent communication and interpersonal skills. Naturally notices when things need to be done. Loves helping people and follows through reliably. Takes pride in presentation and professionalism. Exceptional organizational skills and the ability to multitask effectively. Detail-oriented with the ability to handle sensitive information confidentially. Proactive and adaptable, with a willingness to assist across various departments. Strong problem-solving skills and an ability to work independently. Familiarity with internal service desk/ticketing platforms preferred. Proven ability to juggle priorities, manage timelines, and communicate effectively across functions. Valid driver’s license is preferred. Comfortable running occasional errands or pickups.
