About the role

SSE-Research Office in the Schulich School of Engineering is currently seeking a Full-time Limited Term Research Administrative Coordinator for approximately 24 months.

This position will report to the Manager, Research and Inclusion, and is located at the University's main campus. The Research Administrative Coordinator is responsible for providing administrative coordination to academics and staff on diverse research funding opportunities; administering the delivery of programs services and events, and providing data management support for the Research and Innovation team.

Work hours are Monday to Friday, 8:30 am to 4:30 pm, for 35 hours/week. Some evening and weekend hours may be required during peak periods. In alignment with the operational needs of the Dean's Office, this position is an in-person, on campus role with no remote work days.

Summary of Key Responsibilities (job functions include but are not limited to):

  • Provide research administration coordination to Associate Dean Research, researchers, departments and staff with respect to diverse funding opportunities, faculty and funding agency requirements and policies, and application processes.
  • Coordinate administration of funding cycles, special initiatives, and operational procedures to ensure effective and efficient delivery of operations and services.
  • Implement changes to existing processes and procedures for continuous improvement.
  • Work closely with the Research and Innovation team, researchers, departments, Research Services Office, Research Accounting, SSE faculty committees, and other relevant partners across the campus for research administrative coordination.
  • Responsible for keeping records of research statistics, and extracting data from diverse sources under the guidance of the Research and Innovation Team.
  • Ensures effective, timely and respectful communication in interaction with researchers, and internal stakeholders by exercising a high level of flexibility and integrity.
  • Proper time management is essential as there will be multiple concurrent deadlines, and tasks to be completed in an environment of heavy workload and continuous change.
  • Relays accurate and timely information to the Associate Dean (Research) and Research and Innovation Team.

Qualifications / Requirements:

  • Undergraduate degree in Business, Science, Engineering or a related field.
  • 2-3 years experience in coordinating and administrating operations and projects is required; or an equivalent combination of education and experience may be considered if relevant.
  • Proven organizational skills with an ability to set priorities and complete multiple tasks within specified timelines to meet deadlines, as demonstrated by 2 years experience.
  • Strong analytical skills with 2 years experience with data extraction and compilation, and ability to solve problems related to data management. Experience with PowerBI is an asset.
  • Knowledge and understanding of University plans and policies, as well as structure, governance and decision-making processes is an asset.
  • Knowledge of the research funding landscape is required. Familiarity with Research Management Systems is an asset.
  • Excellent oral and written communication skills are required.
  • Demonstrated ability to take initiative and work independently and also in a team environment with multiple partners.
  • Strong judgment and attention to detail are required.
  • Excellent computer skills in Microsoft Office are required; skills in Adobe, SharePoint, and PeopleSoft are required.
  • Experience with financial and budget administration tasks is an asset.
  • Open to learning and willingness to tackle new challenges and assignments.
