Alumni Coordinator, Alumni Affairs/Advancement
About the role
Alumni Affairs is responsible for large-scale, integrated efforts to maintain positive relationships between the University of Winnipeg and its community of over 89,000 alumni from UWinnipeg, The Collegiate, and the PACE program.
TheAlumni Coordinator is a full-time continuingposition responsible for managing a range of programs and activities of the Alumni Affairs office. The successful candidate will maintain current relationships with alumni, build new partnerships with alumni and alumni-led organizations, and raise the profile of alumni in the University—both internally and externally.
Responsibilities:
Support for Alumni Council Activities
- Coordinates monthly Alumni Council meetings and Annual General Meetings.
- Attends and participates in Executive, Council, and any sub-committee meetings.
- Monitors and vets Alumni Council initiatives, programming, and communications.
- Provides University information, advice, and direction to the Council.
- Negotiates modifications to, or vetoes, Alumni Council initiatives that do not align with University policies, practices, and priorities.
- Provides orientation, assistance, and advice to new Council members and Committee chairs.
- Drafts agendas, invitations, emails, announcements, and other materials.
Planning and Oversight of Alumni Events
- Researches individual class archival data to identify alumni leaders.
- Develops a reunion event organization model.
- Provides agendas, calls, and moderates reunion committee meetings. Manages class lists, and organizes interest and invite letter mail-outs. Manages registrations and payments. Provides regular progress updates to each class reunion committee.
- Coordinates monthly meetings of the events, communications, and alumni teams. Creates agendas and follow-up notes to keep planning on track.
- Coordinates and collaborates regularly with other alumni-supporting positions in departments across campus.
- Provides feedback from alumni to the planning group regarding types of events they are interested in attending.
- Works with faculties and programs to promote Alumni Week, and coordinates participation, support, and engagement in Alumni Week promotions.
- Recruits, organizes, and supervises alumni volunteers.
- Project manages alumni events throughout the annual cycle of activities.
- Works to increase knowledge of the field of alumni relations and best practices, brings forward new ideas and program improvements.
Alumni Information Distribution
- Subscribes to relevant news, media, social media, and websites to identify outstanding alumni.
- Keeps lists of relevant alumni for publications, promotions, and awards.
- Maintains specialized lists of alumni by sector to be considered for awards and special honours, University program involvement, and event invitations.
- Responsible for proposing and drafting materials (nominations, letters, announcements, social media postings, etc.) and contributing to alumni communications.
- Prepares alumni information for departments and University offices, often on short notice.
- Responsible for researching and recommending candidates for the Distinguished Alumni Awards program, including supporting the nomination process for nominators.
Maintaining Alumni Database, Responding to Inquiries, and Administering Corporate Affinity Partnerships
- Updates alumni database.
- Maintains, updates, and improves specialized lists.
- Contacts alumni for specific outreach initiatives, tracks and records responses.
- Develops and implements strategies for improved record maintenance and accuracy.
- Welcomes and assists visitors, creates alumni cards, responds to address updates.
- Answers, responds to, and directs general telephone and email inquiries.
- Researches and makes inquiries with other departments to assist alumni.
- Provides assistance and accurate information regarding events, tickets, programs, services, payment options, etc.
- Prepares and mails alumni cards, alumni mailings, and packages.
- Works to stay informed, knowledgeable, and current on University initiatives, opportunities, programs, services, and events in order to communicate information to the alumni community.
- Manages Corporate Affinity partnerships (alumni credit card and insurance programs, other benefit or discount partnerships).
- Actively researches and proposes new partnerships and opportunities to enhance revenue of the program.
- Promotes alumni benefits.
- Tracks participation and usage to evaluate program effectiveness.
- Maintains relationships with corporate partners.
- Tracks financial benchmarks and sets goals for increasing buy-in from alumni.
- Performs other duties as assigned or requested.
Qualifications:
- Undergraduate degree or diploma in communications, community engagement, or a related discipline, with one or more years of relevant work experience required.
- Preference will be given to recent alumni of The University of Winnipeg.
- Experience in alumni affairs, public relations, fundraising, or a similar area.
- Experience coordinating, supervising, and supporting volunteers.
- Experience working with diverse groups of stakeholders and supporting community network and engagement activities.
- Experience with student leadership and/or governance.
- Ability to build and maintain relationships and partnerships with alumni and alumni community organizations.
- Ability to project manage complex and long-term event plans, maintaining collaboration while ensuring a fixed schedule of deadlines and deliverables.
- Knowledge of the University’s Strategic Plan priorities and branding initiatives.
- Strong collegial and interpersonal skills.
- Strong communication skills, verbal and written.
- Strong attention to detail, takes initiative, and is a collaborative team player.
- Demonstrated use of Microsoft 365 products and Adobe Acrobat products.
- Experience with Raiser’s Edge and Blackbaud.
- Understanding of the University’s organization structure, history, and culture.
- Understanding of the University’s privacy obligations and current policy and legislation to ensure the treatment of alumni data is protected and FIPPA compliant.
An equivalent combination of education, experience, skills, knowledge and abilities may be considered.
Condition(s) of Employment:
- Must be legally entitled to work in Canada.
- Ability to work flexible hours, including some evenings and weekends.
The salary range for this position will be from $48,648.80 to $68,741.40 annually.
