The Digital Engagement Coordinator reports to the Manager, Recruitment & Enrolment and is responsible for executing and optimizing student engagement, digital outreach, CRM-driven communication, and recruitment automation efforts. This role plays a key function in enhancing prospective student engagement from inquiry to enrolment by coordinating targeted email nurture campaigns, event follow-ups, and digital engagement strategies.
Working closely with Recruitment & Enrolment Management, Future Student Advisors (FSAs), and College Relations, the Engagement Coordinator ensures that CRM systems (e.g., HubSpot) are optimized, student interactions are tracked, data is maintained, cleaned and communication strategies are data-driven. Additionally, this role provides key insights to enhance recruitment initiatives through predictive analytics, lead scoring, and digital outreach strategies.
The Digital Engagement Coordinator also oversees automated recruitment workflows, ensuring that prospective students receive personalized and timely communication to enhance their journey from application to enrolment.
Functions and Duties
1. CRM & Digital Engagement Strategy
- Develop and execute email conversion campaigns targeting prospective students at different stages of the recruitment funnel.
- Maintain and optimize HubSpot CRM workflows, ensuring accurate tracking of student interactions, inquiries, and application progress.
- Implement predictive analytics and lead scoring, to prioritize high-intent applicants for targeted outreach.
- Provide data insights and reporting on email engagement, event attendance, and recruitment performance metrics.
- Train recruitment & enrolment staff on best practices for CRM utilization and student follow-ups.
- Manage sites related to Okanagan College enrolment that support our digital knowledge base recruitment efforts, e.g. https://postsecondarybc.ca/institution/okanagan-college/.
2. Recruitment Event Engagement & Follow-Up
- Coordinate post-event follow-up campaigns, ensuring timely and personalized communication with attendees.
- Work with Future Student Advisors (FSAs) and College Relations to align promotional materials and outreach strategies with recruitment events.
- Track engagement and conversion rates for Experience OC, Open Houses, Parent & Guardian Nights, and High School Counselor Training Summits.
3. Outreach Support for Recruitment
- Collaborate with College Relations to develop geo-targeted social media campaigns and digital advertisements.
- Provide insights from CRM analytics to shape content strategies for recruitment communication.
- Work with FSAs to ensure that high school counselors and prospects receive up-to-date recruitment materials and event invitations.
4. Recruitment Process Automation & AI Integration
- Implement automated workflows to streamline application reminders, offer acceptance tracking, and event invitations.
- Optimize the use of AI-powered engagement tools to personalize communication at scale.
- Monitor and adjust recruitment automation strategies based on real-time data insights.
5. Collaboration & Data-Driven Decision Making
- Work closely with Data Analytics & Reporting (DAR) and the Recruitment & Enrolment Manager to assess data trends in student inquiries and application conversion, while also maintaining clean and accurate data within the CRM
- Conduct quarterly recruitment performance reviews, adjusting engagement strategies based on CRM and event data.
- Ensure seamless collaboration between recruitment, admissions, and education planning teams for holistic student support.
6. Strategic Analysis & Reporting
- Develop and maintain dashboards and reporting tools to monitor key performance indicators related to recruitment, enrolment, and engagement.
- Analyze longitudinal trends in application, conversion, and enrolment data to inform recruitment strategies and institutional planning.
- Provide regular reports to leadership highlighting insights, risks, and opportunities related to prospective student behaviour and program demand.
- Collaborate with DAR to align recruitment data with broader college performance metrics and strategic enrolment goals.
- Support evidence-based decision-making by translating complex data into actionable recommendations for recruitment, marketing, and academic stakeholders.
7. Policy Development, Compliance & Oversight

Develop, implement, and maintain policies and procedures related to student recruitment, enrolment, and data management in alignment with institutional priorities and external regulatory requirements.

Ensure compliance with provincial and federal privacy legislation, including FIPPA, as well as institutional guidelines related to ethical data use and student communications.

Provide oversight into CRM and digital engagement practices to uphold data integrity, transparency, and accountability across recruitment and enrolment teams.

Monitor and address emerging compliance risks by collaborating with internal departments, such as College Relations, DAR and IT Services, to ensure continuous policy alignment and staff awareness.

Support internal audits and reporting requirements by maintaining documentation and process clarity for key recruitment and data governance activities.
Education and Experience

Bachelor’s degree in Marketing, Communications, Business Administration, Data Analytics, or a related field.

Training in CRM systems, digital engagement tools, or marketing automation preferred.

Minimum 5 years of experience in digital engagement, CRM operations, or student recruitment.

Experience in HubSpot CRM, marketing automation, or lead scoring.

Strong background in data analysis, campaign optimization, and recruitment outreach.

Knowledge of territory-based recruitment models and student engagement best practices.
Skills and Abilities
- Proficiency in CRM systems, marketing automation tools, and digital outreach strategies.
- Strong analytical skills with experience in data analytics reporting and performance tracking.
- Excellent written and verbal communication skills, with a focus on crafting engaging student messages.
- Ability to work collaboratively with recruitment teams, College Relations, and DAR.
