The National Arts Centre Foundation raises funds to support the National Arts Centre’s work in performance, creation, and learning across Canada. Founded in 2000 as a separate legal entity, the Foundation has raised over $170 million to date and is currently in a $100M comprehensive campaign to support the revitalization of the performing arts across the country. With a staff team of 18, along with an active Board of Directors and Campaign Cabinet, the Foundation has a donor base of over 6,000 and raises $7M-$10M annually.

Key Activities
The National Arts Centre (NAC) is seeking a dedicated and skilled Prospect Management & Research Specialist to join our dynamic Development team, reporting to the Director, Development Operations. This role presents a unique opportunity for an individual passionate about the arts and committed to our mission.
As a subject matter and technical expert in this field, you will leverage your analytic, technological, and research skills to identify new potential major donors and support the NAC’s fundraising goals.
The Specialist will collaborate closely with Senior leadership to develop new prospecting strategies and proactively identify potential major donors. They will also work closely with the fundraising team to manage the movement of prospects through the pipeline, ensuring data accuracy through regular database updates, reporting and forecasting fundraising activity to support strategic decision-making and revenue growth.
Additionally, the incumbent will conduct biographical and financial research on donors. They are responsible for analyzing and interpreting all research findings and preparing concise prospect profiles and briefings.
This role supports fundraisers and leadership through accurate data maintenance, timely research, and consistent pipeline reporting. The position also supports campaign planning by analyzing portfolios and pipelines, and modeling campaign projections.

Key Responsibilities:
- DATA & REPORTING
Purpose: Ensure consistent, accurate, and accessible prospect data to support major gift fundraising and decision making. Use data/reporting to inform strategy, budget planning, and campaign tracking.
- Maintain and update donor and prospect data within Raiser’s Edge NXT.
- Ensuring moves‑management stages, actions, and assignments are up to date to enable accurate pipeline reporting and support monitoring of risks and possible gaps or stalls.
- Produce fundraising reports such as:
o Revenue forecasts based on pipeline movement;
o Portfolio metrics, activity, and progress against goal;
o Campaign progress reports and gift charts;
o Consistent, reliable reporting to inform strategy, budget planning, and campaign tracking.
- PIPELINE & PROSPECT MANAGEMENT
Purpose: Support the movement of prospects through the donor lifecycle by maintaining structure/systems, documentation, and visibility into fundraising activity.

Maintain up‑to‑date prospect assignments, stages, and proposals in the CRM.

Support and monitor portfolio and pipeline health and flag stalled prospects or missing data.

Prepare materials for pipeline and prospect review meetings with fundraisers.

Maintain portfolio and priority lists for regional or initiative‑based fundraising streams or invitation lists.
- RESEARCH
Purpose: Provide timely and accurate prospect research to support qualification, cultivation and solicitation activities.
- Conduct proactive and reactive biographical, financial and philanthropic research on individuals, corporations, and foundations.
- Prepare concise research profiles, and philanthropic snapshots for staff and volunteer leadership.
- Qualify new prospects through research, screening tools, and philanthropic/financial analysis. Leveraging screening data and internal insights to validate or refine prospect potential.
- Monitor philanthropic and constituent news, updating records accordingly.
Skill Requirements
- A university degree and/or a combination of four years of experience in a not-for-profit, with a specific focus on prospect research, and demonstrated project management experience.
- Comprehensive understanding and experience in prospect research using various online information sources.
- Exceptional analytical and problem-solving skills, demonstrating attention to detail and accuracy.
- Clear, concise, and professional communication skills, both orally and in writing.
- Practical experience in effectively reviewing data for reporting needs.
- Superior computer and data analysis skills within a CRM database (Raiser’s Edge NXT preferred).
- Ability to evaluate, interpret, and present complex information effectively in professionally prepared documents or presentations.
- Ability to manage several projects simultaneously, prioritize and plan work activities, while meeting respective deadlines.
- Tact in handling sensitive and confidential information appropriately and with discretion, following and promoting ethical guidelines for the collection and use of information.
- Knowledge of tools and techniques for collecting, synthesizing, and analyzing data, as it pertains to prospect research and pipeline development.
- Demonstrated proficiency in utilizing prospect and other data to make recommendations for prospect activity, and strategy.
- Fluency in French is an asset.
