This job offers the opportunity to work from home as part of a hybrid work arrangement. This arrangement will allow you to work some days at a TCHC work location and the rest of the time from home. The amount of time required to work at a TCHC work location is flexible, while considering operational and service delivery requirements.

Position Summary
Reporting to the Program Manager, Move-Out Services, the Coordinator, Move-Out Services will support the day-to-day operations of the Move-Out Program and liaise with staff and vendors to ensure compliance with program and/or contract requirements The incumbent liaises directly with Finance, Facilities Management, and Strategic Procurement and Vendor Management and other business units to maintain the accuracy of program activities and payments.

What you’ll do
Review and Monitor Day-to-Day Tasks of the Program:

  • Manage and monitor daily uploads of new vacancies processed
  • Perform in-depth analysis of move-out data on a regular basis to ensure that processes and protocols are being followed
  • Review reports to measure performance against process compliance
  • Work with business units and staff to resolve issues, identify possible high-risk outcomes, and make recommendations to mitigate
  • Coordinate and assist with the administration of day-to-day tasks and provide support to team members
  • Coordinate in collecting statistics from regions; consolidate and analyze the data and prepare monthly and quarterly reports for identifying emerging trends

Review Completed Jobs Weekly and Process Payments:

  • Upload and process completed jobs to comply with terms of contract
  • Review systems to cross reference inaccuracies
  • Liaise with Finance and vendors to ensure accuracy of payments processed

Support Quality Assurance and Improvement Activities:

  • Assist in analyzing data gathered and solutions developed to enable successful processes
  • Liaise with IT to review and test solutions on changes
  • Provide support to ensure effective delivery of the unit portal
  • Support the implementation and roll-out of new move-out processes and training

Support Delivery of Performance Management Reporting:

  • Assist in delivery of reports to Management staff to manage performance issues
  • Provide weekly updates on status to allow Managers and supervisors to follow up, hold staff accountable and resolve any issues contributing to deviation or delays
  • Provide daily reports to the supervisor of the program to manage daily performance

What you’ll need

  • 3 – 5 years of experience in a property management environment using related systems and proficiency in data analysis and coordination
  • Post –secondary education in Business Administration or certificates on related fields such as project management or business analysis
  • Experience in vendor management considered an asset
  • Excellent analytical and problem-solving skills and sound judgement
  • Proficient communication, interpersonal and organizational skills
  • Demonstrated experience utilizing computer applications and software packages such as Microsoft Word, Excel and databases. Advanced knowledge of Excel required to prepare spreadsheets and reports
  • Ability to learn and use custom software
  • Detail-oriented, with attention to data accuracy and interpretation
  • Demonstrated ability to prepare correspondence, reports and presentations
  • Ability to work independently and as part of a team
  • Knowledge of the housing sector is an asset
