The Camp Coordinator is responsible for the organization and execution of all daily administrative tasks associated with the operation of the Camp Office. The Camp Coordinator provides exceptional customer service while managing Camp Office communication, camper registration and attendance, staff schedules, invoicing, and related administrative duties. This position acts as a liaison between families and Appleby Camps, providing timely information and ensuring a high-quality experience for all participants.
WHAT IS AMAZING ABOUT THIS JOB
Pre-Camp Planning (December – June)
- Organize, plan, and coordinate all aspects of camp office administration that can be done prior to summer including purchasing supplies, planning, and sub-committee work.
- Attend monthly Senior Staff meetings December through June.
- Manage and problem solve issues with campers, parents/guardians, staff, and volunteers.
- Coordinate, interview, schedule and be main point of contact for Volunteer Instructors
- Prepare and coordinate registration sheets, special attention forms, attendance records, sign-in/out lists, and drop-off/pick-up procedures.
- Assist Camp Director with additional marketing and communication materials to enhance the camper/parent experience.
- Ensure reception duties, including phone, visitor, parent and camper inquiries, are handled with exceptional customer service.
- Prepare communication templates and responses in advance of a crisis in accordance with Appleby Camps safety policies and emergency procedures.
- Maintain CampBrain database and registrations, resolving customer issues promptly.
- Support training for office and customer service procedures.
- Collaborate with other Senior Staff to ensure all documentation is completed prior to June.
- Assist with Camp Fairs and events organized for community engagement.
Summer Camp Operations (June – August)
- Provide front-line communication via email, in-person, radio, and phone with camp families, staff, and the Appleby community.
- Coordinate communication response in the event of a medical emergency or crisis according to Appleby Camps safety policies and emergency procedures.
- Order and maintain office supplies, keeping accurate records of usage.
- Sort, distribute, and forward incoming/outgoing mail and messages for campers and staff.
- Coordinate weekly reports, thank-you letters, and birthday cards with camp staff.
- Support scheduling, attendance tracking, and logistical needs across all camp programs.
- Follow and promote all camp procedures and policies, including Appleby’s Mutual Respect Policy.
- Maintain and update the Camp Programs instruction manual.
Post-Camp Review
- Participate in end-of-season debrief.
- Gather feedback, suggestions, and improvements for the following summer.
- Create “Lessons Learned” and best practices documentation.
YOU WILL BE A GREAT FIT IF YOU
- Have proven administrative experience in a fast-paced, customer service-oriented environment.
- Possess strong multi-tasking and problem-solving abilities.
- Can handle emergency responses calmly and efficiently.
- Have experience coordinating or supervising staff in camp, recreation, or educational environments.
- Are energetic, organized, and self-motivated.
- Have strong communication and interpersonal skills.
- Demonstrate advanced computer proficiency, including Microsoft Outlook, Word, Excel, CampBrain, and Access databases.
- Hold valid Standard First Aid and CPR – C
- Hold a valid driver’s license.

- Camp Session Dates: June 22 – August 28, 2026 (excluding July 1 and August 3)
- Monday to Friday, 8:00am – 4:30pm
