Some of what you will do:
The Digital Staples Team is growing and is looking for a Digital, Project Coordinator to help drive an aggressive growth plan in 2023 and beyond. This role is responsible for supporting the PMO and Project Management Lead drive program level tracking, efficiency, transparency and coordination across the different divisions (Staples, Staples Preferred, Staples Professional and Staples Print). This role requires someone who has excellent planning and execution skills and has an adaptable and flexible mindset. The Digital PMO is a new department that is growing and is an exciting time to join the Staples family.
Specifically, You Will:
Reporting to the Project Management Lead, the Digital, Project Coordinator is responsible for the implementation of programs and process improvements to support ongoing program and file management practices. Digital, Project Coordinator will be responsible for maintaining program level repositories across the different Staples divisions. The incumbent will be a key point of contact for program related questions and will work closely with various stakeholders such as Product Managers, Project Managers, Business Analysts, Senior Leaderships and Vendors.
- Executing assigned tasks according to Digital Portfolio Roadmap
- Assessing program output against KPIs and reporting on findings
- Assisting with the preparation of weekly meeting with Senior Directors
- Communicating weekly program status update across the organization
- Informing stakeholders and senior staff of impending deadlines
- Update and maintain Digital PMO SharePoint and website
- Managing multiple shared inboxes
- Assisting with the creation of project schedules
- Process all invoices for contractors and all other external vendors
- Generating reporting across the program
- Create new/edit existing templates as required depending on program needs and requirements (i.e. Submission Template, Presentation Template, Spreadsheet Template, etc.)
Some of what you need:
- Minimum college and/or university degree or equivalent experience
- CAPM (Certified Associate in Project Management) is an asset
- Advanced skills in Microsoft Office Suite - Word, Excel, PowerPoint, Project and Outlook
- Knowledge in Project Management concepts and methodologies, both Agile and Waterfall
- Experience in Jira, Confluence and/or Azure DevOps is an asset
- Familiarity with website development and practices is an asset
- 3+ years of Administrative or Project Coordination experience within IT, Digital, Retail, or similar
- Familiarity with processing purchase orders, budget creation, change orders, and project closeout.
- Ability to handle multiple tasks to prioritize needs and expedite tasks upon request
- Highly skilled at database and file management
- Detailed and have the ability work independently
- Excellent customer service and office administrative skills
- Optimistic, perceptive, resourceful, solution-oriented, and tech-savvy
- Possess strong organizational and follow-up skills
- Passionate about a career in Project Management
