The HRIS Specialist is a subject matter expert and systems administrator for the UKG platform, including UKG Pro, Workforce Management (WFM), Recruitment, Onboarding, and Learning modules, as well as future UKG modules and other HR systems. This role ensures day-to-day stability and effectiveness of these systems by supporting configuration, user access, data accuracy, and troubleshooting.
Working as a key member of the People and Culture (P&C) team, the HRIS Specialist provides employee and manager support, collaborates with internal partners and vendors, and plays a key role in optimizing HR technology to enhance the employee experience, operational efficiency and legislative and regulatory compliance.
This role works closely with Payroll & Benefits, Information Services (IS), and the People Data Operations team and acts as Servus’ primary HRIS contact for UKG support.
What you'll be doing:

Act as the super user for the UKG platform and other HR systems as assigned. They will consult with the primary administrator/SME for each module, who will be assigned as necessary within various P&C teams.

Configure system settings, maintain foundational data (e.g., job codes, org structures), and manage access controls.
-
Participate in and support the primary administrators in their system activities such as year-end processing, open enrollment, and performance cycle configuration.
-
Document and support system integrations such as API & SFTP file feeds.
-
Capture HRIS change requests from stakeholders and route them (with clarifying details) to the manager for review and prioritization.
-
Monitor interface error logs and escalate potential data‑security or processing risks to IS / manager.
Support and User Experience
-
Provide first-line support for HRIS-related inquiries from employees and managers.
-
Troubleshoot issues and escalate to UKG support or internal IS partners as appropriate.
-
Attempt Tier 2 functional troubleshooting (configuration/use) before vendor escalation and document recurring fixes.
-
Support the maintenance and creation of internal documentation, job aids, and knowledge base articles.
-
Collaborate to refresh impacted job aids and quick‑reference guides when UKG releases introduce user‑visible changes (coordinate with Learning).
-
Collaborate with the Learning team to support system-related training delivery.
-
Ensure a positive end-user experience by promoting self-service capabilities and championing the simplification of processes.
-
Serve as primary liaison with UKG support, logging tickets, tracking SLAs, and advocating for Servus priorities.
Data Quality and Reporting
-
Enable a high level of data integrity across all UKG modules and perform preliminary and regular data quality checks (e.g., orphaned employees and redundant job codes).
-
Maintain a recurring (e.g., monthly) data‑integrity checklist and track remediation items (duplicates, missing values) through closure.
-
Partner with the P&C People Data Operations team to perform regular audits, resolve data issues, and monitor system compliance with privacy and security protocols.
-
Support the People Data team to generate and distribute scheduled and ad hoc reports for internal stakeholders as needed.
-
Provide basic operational extracts (e.g., headcount roster, status changes) to People Managers when People Data Operations support is unavailable.
-
Assist with preparing data exports and imports for internal programs such as performance reviews, compensation reviews, or compliance cycles.
System Enhancement and Continuous Improvement

Prepare for and participate in system upgrades and testing cycles.
-
Assist in the coordination of UKG major and minor release reviews: sandbox testing, regression validation, stakeholder sign-off, and end-user communication as required.

Recommend configuration changes or process improvements based on feedback and business needs.
-
Monitor UKG product updates and partner with internal teams to evaluate and adopt relevant enhancements.
-
Support HRIS initiatives or project implementations under the direction of the Manager, HRIS and People Data.
Privacy, Security & Compliance
-
Administer UKG security roles, ensuring least-privilege access and quarterly audits.
-
Monitor compliance with any legislation, regulation, and standards.
-
Flag emerging best practices and regulatory changes that may affect UKG configuration; escalate to manager.
-
Support P&C in meeting employment standards and regulations by keeping system configuration current.
-
Liaise with Internal Audit / Risk on reviews that involve P&C data, coordinating with the People Data Operations team.
What you bring:
Experience and Education:
-
Post-secondary diploma or degree in Human Resources, Information Systems, or a related field.
-
2–3 years of experience in HRIS or HR operations, preferably in a mid-to-large organization.
-
Hands-on experience with one or more UKG modules (Pro, WFM, Recruitment, Onboarding, Learning) strongly preferred.
-
Experience supporting system users in a service-oriented role.
-
Strong Excel skills (e.g., lookups, pivot tables, data validation).
-
Proficiency in navigating and configuring cloud-based HR platforms.
-
Understanding of integrations based on APIs and SFTP file feeds.
-
Familiarity with data privacy standards and secure handling of employee information.
Licenses and Certifications:

HRIS or UKG certifications are an asset.
